The Banquet Set-Up Manager is responsible for the management of the Banquet Set-Up department and all aspects of the audiovisual and video conference services operations at the Crystal Center.
Job Duties and Responsibilities
- Coordinate Set-Up department’s daily assignments based on daily functions.
- Plan, assign, and direct work; appraise performance; reward and coach employees; address complaints and resolve problems.
- Manage stock levels of departmental provisions.
- Create room diagrams for conferences.
- Manage all aspects of A/V for the department, including in-room testing, troubleshooting, and procurement of necessary equipment.
- Review Banquet Event Orders (BEO’s) at the beginning of each shift to ensure rooms are set as contracted. Confirm and set up A/V equipment per event contract.
- Work closely with Conference Services Managers and Banquet Manager to understand all details of banquet and event requests, through weekly BEO meeting or verbal communication.
- Prepare rooms for use adjusting lights, sound volumes, and temperature as needed for each room before guests arrive.
- Create worklists based on the sheets for upcoming events. Assign tasks to Banquet Set-Up Attendants as required.
- Communicate with the banquet staff regarding any special needs.
- Assist in ensuring that events are on time. Make adjustments as needed and relay information to the appropriate personnel.
- Pass any information that is needed to the next shift supervisor on duty.
- Ensure proper use, storage, and maintenance of all A/V and meeting room equipment.
- Ensure proper back-up in the event that any equipment is not properly functioning.
- Maintain high standards of safety and cleanliness in all areas of the Conference Center.
- Communicate any areas of need, problems, and concerns from guest to supervisor.
- If no upcoming events, have rooms in a readiness position for possible site inspections. Ensure that meeting rooms are re-set for next event if it is within one day of previous event.
- Keep inventory of all Conference Center necessities and re-stock as needed (to include food & beverage items, cleaning supplies, paper products, linens, tables, chairs, A/V equipment).
- Work with Guest Services to transport items needed for an outdoor event and tent areas, not within the Crystal Center.
- Attend Safety Committee meetings to discuss safety issues around the resort.
- Other duties as assigned.
Competencies:
- Previous experience with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) required.
- Clear and concise verbal communication skills.
- Self-directed and able to maximize use of time, resources, and technology.
- Able to analyze, interpret, and present data in various formats.
- Able to work with computers, faxes, copiers, scanners, and various other technologies in offices and on resort.
- Maintains office, employee, and company confidentiality at all times.

- High School Diploma or Equivalent.
- Combination of education and experience that enables performance of all aspects of the position.
- Ability to lift up to 100 lbs.
- Ability to work on one’s feet for majority of shift.

- Evenings, weekends and holidays are a regular part of the schedule.
- Must have excellent attendance and conduct record for consideration.
- Must have unrestricted and insurable driving record.
