Job Overview
We are seeking a detail-oriented and organized Scheduling Coordinator to join our team. The ideal candidate will play a crucial role in managing logistics and ensuring efficient transportation planning. This position requires strong communication skills and the ability to work effectively in a fast-paced team environment. The Scheduling Coordinator will be responsible for contacting customers, creating and coordinating schedules, dispatching, and supporting supply chain activities.
Responsibilities
· The Scheduling Coordinator is responsible for the planning and Scheduling of Service Appointments to meet customer demands, optimize resource utilization, and enhance overall efficiency.
· This role involves collaboration with various departments to ensure a seamless workflow and timely delivery of products and services.
· Develop and implement schedules that align with customer demands, job targets, and overall business goals.
· Efficiently allocate resources, including manpower, equipment, and materials, to meet production schedules and minimize downtime.
· Work closely with Sales, Operations, and Supply Chain teams to understand customer requirements, production capacity, and inventory levels.
· Manage lead times, ensuring timely arrival of teams to customers in all areas while maintaining high number of multi-jobs scheduled within one day when applicable.
· Communicate schedules and changes effectively to all relevant stakeholders, including Supervisors, Office Management, and teams.
· Identify areas for improvement in production scheduling processes and implement best practices to enhance efficiency and effectiveness.
· Address and resolve conflicts that may arise due to changes in schedules, resource constraints, or other factors impacting timelines.
· Ensure schedules comply with relevant regulations, safety standards, and quality requirements.
Preferred Qualifications
- 2 years of experience as a Scheduling Coordinator, Dispatching or in a similar role in a HVAC environment a plus.
- Strong understanding of planning, scheduling, and customer satisfaction.
- Proficient in the use of scheduling software a plus.
- Excellent analytical and problem-solving skills.
- Strong communication and interpersonal skills.
- Detail-oriented with the ability to manage multiple priorities.
Preferred Experience
- Proficient in data entry with attention to detail.
- Experience with dispatching operations is beneficial.
- Strong communication skills, both verbal and written, are essential.
- Ability to work collaboratively in a team-oriented environment.
