JOB SUMMARY

The Document Control Specialist manages a comprehensive documentation system in CSG’s facilities department. They are responsible for maintaining and organizing all incoming and outgoing construction documentation related to municipal facilities / public works projects. They work closely with various stakeholders, including jurisdictions, construction managers, project managers, and other project team members to ensure an efficient and effective documentation system that supports the successful execution of projects.

We only consider candidates living locally or within the State of CA. We do not pay any relocation expenses.

This position is available as a full-time or as-needed role, depending on the candidate's preferences and the needs of CSG Consultants.

RESPONSIBILITIES

  • Project folder setup and management.
  • Organize, file, and maintain documents, including drawings, specifications, contracts, permits, reports, RFIs, and other project-related documentation. Ensure all documents are up-to-date, properly labeled, and accessible for team members.
  • Monitor and track document revisions, approvals, and distributions.
  • Communicate and distribute project-related information with the project team and external stakeholders.
  • Assist the Project Manager during audits as needed.
  • Process and control all project document types on day-to-day basis in an accurate and timely manner.
  • Assist Project Manager in implementation of improvements to document management systems and processes.
  • Ensure proper storage, retention, and archiving of completed project files in accordance with CSG policies and individual contract requirements.
  • Provide support and training for employees on system and how to access / use documents.
  • Perform other related duties as required.

QUALIFICATIONS

  • 5 years of experience in document control, preferably in the construction, public works, or civil engineering industry.
  • Bachelor’s degree from an accredited college or university.
  • Basic understanding of construction documentation standards, including contracts, change orders, submittals, RFIs, and project drawings.
  • Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously.
  • Attention to detail with a strong focus on accuracy and compliance.
  • Ability to work collaboratively and communicate well with internal and external teams.
  • Ability to work independently and proactively.
  • Strong interpersonal and communication skills (both written and verbal).
  • Familiarity with project and construction management software.
  • Must be proficient in Microsoft tools including, but not limited to : Microsoft Office, MS Teams, Excel, SharePoint Portal.

  • Working with detailed, finely printed documents.
  • Capacity to work in a fast-paced environment when dealing with deadlines and multiple projects.

    The compensation for this position is $25.00 to $43.00 per hour

    Exact compensation may vary based on skills, experience, and location.
