Job description
CSI of the SE, Inc is seeking a Project Coordinator to join our team. They will help with the organization and running of the daily administrative operations of the company. The Project Coordinator will gather information to implement upcoming projects. Will be responsible for record keeping, schedules and ensuring deadlines for projects are met.
Additionally, this position will be our contact for contractors, and schedule work based on complex rules and procedures that relate differently to each of our customers. They will fulfill various duties and responsibilities for both the customers and our technicians. They will be expected to work to maintain comprehensive action plans concerning timeframe for projects.
CSI of the Southeast, Inc has been the industry leader for service, and serves many states east of the Mississippi River and Texas, for over 20 years.
Job Duties:
- Maintain incoming service and install request. Schedule and coordinate technicians for calls as they are received, create work orders, and maintain upcoming schedule for each technician in their designated area.
- Create incoming work orders and make sure technicians have knowledge of their schedule for the next working day. Advise technicians of their upcoming itinerary. Ensure that all travel arrangements are made in a timely manner.
- Maintain communication between customers, contractors, and employees. Ensure that installs and roll-out projects are coordinated to meet customers' requests and arrange the arrival of technicians on site according to site readiness.
- Maintain communication within company departments. Coordinate with tech support on additional information for jobs. Coordinate with the warehouse on up-coming installs, roll-out projects, and technician truck stock.
- Maintain job status queues. Making sure that all jobs are followed up and statuses are up to date with a constantly changing schedule. Verify and manage Permits for projects where applicable. Making calls or sending emails to customers/contractors to make sure that all jobs are coordinated according to site status. Verify all parts are ordered, staged, and shipped to technicians on time.
- Maintain schedule based on geographic service areas. Ensure that jobs are scheduled accordingly to maximize tech productivity. Communicate with each technician to ensure they have knowledge of the upcoming schedule so that travel can be planned and confirmed to ensure that arrival times are prompt.
Skills/Qualifications:
- Excellent customer service skills: customer service oriented, friendly, and professional.
- Organization: ability to handle high volume of calls, emails, and be able to multitask.
- Adaptable: ability to resolve and accommodate last minute changes in schedule and maintain professionalism.
- Communication: must be able to communicate with co-workers/management and customers.
- Independent: must be able to solve problems and resolve issues.
- Team player: willing to contribute to the success of the company.
- Computer skills: Outlook, Excel, mapping programs, and GPS programs. Familiarity with NetSuite or NextService is a plus.
