JOB SUMMARY
CSNIP, a nonprofit veterinary clinic celebrating 23 years of service, is growing and expanding as we live out our mission to prevent pet overpopulation and increase the community’s access to veterinary care. We are hiring for both full-time and part-time Customer Service Representatives/Veterinary Schedulers. This position is the first point of contact for most of our pet families so we look for employees who are compassionate but efficient, can juggle multiple tasks but are accurate with record-keeping, and can clearly communicate our scheduling, surgical, and wellness processes to those who need our services for their pets. The CSR job duties include scheduling client appointments, assisting walk-in customers, staffing the daily patient check-in and release time, accurately recording patient information in our database, collecting and recording payments, answering online, phone, and email inquiries, and maintaining a neat and clean reception area.
Responsibilities include but are not limited to:
- Scheduling appointments for spay/neuter surgery, well pet services, dental services and other surgical procedures for dogs or cats via phone, walk in, or online requests
- Gathering and recording complete and accurate pet health information from callers during the appointment-booking process
- Providing excellent, client focused customer service
- Assisting with the daily patient check-in, as well as patient release process
- Processing payments over the phone and at the counter, ensuring money is recorded accurately
- Completing daily clinic opening and/or closing checklist, including cleaning, organizing and restocking the lobby and front office areas
Position Requirements
- Able to learn basic veterinary medical concepts and terminology
- Able to accurately gather and relay information in a friendly and professional manner
- Good communication and skills and ability to get along with diverse groups of people
- Accuracy, detail-orientation, and customer service skills essential
- Good computer skills and knowledge of Microsoft Office
- Able to answer and respond to four phone lines, and navigate a voicemail system
- Able to enter data accurately into a database system
- Able to stay focused in a fast-paced environment
- Able to multitask and prioritize tasks appropriately
- Enjoys being around dogs and cats
- Supports the organizational mission
Physical Requirements
- Must be able to work standing or sitting for up to 10 hours
- Must be able to see fine detail in a variety of situations
- Must be able to lift up to 20 lbs.
Preferred skills/experience
At least one year of customer service and/or scheduling experience, preferably in a veterinary or animal-related environment, call center, or medical facility. Spanish language skills are a plus.
Work environment:
The office and medical operations of a high-volume veterinary clinic can be very busy at times. This position works in a shared call-center work space with the Customer Service Manager and other Customer Service Representatives. Employees must be comfortable being in an environment with up to 100 dogs and cats per surgical day.
