What are the responsibilities and job description for the Student Coordinator, Italy (Lex) position at CULTURAL EXPERIENCES ABROAD LLC?
Lex, part of the CEA CAPA family, is hiring Student Coordinators to act as a group leader, managing all things logistics, planning extra-curricular activities and many other tasks related to our student's experience pre-law study abroad programs across Europe this summer of 2025. We are looking for Student Coordinators in Italy for the following regions:
- Rome
- Milan
- Genova
You must have excellent communication in Italian and English to be successful in this role.

Your Role:
The Student Coordinator position is part of the Lex team and allows you to have the unique opportunity to contribute to the continued success of Lex’s mission while also working within the broader CEA CAPA community. The Student Coordinator is the driving force behind our programs, ensuring seamless in-country implementation of program activities and exceptional student experience. They manage daily logistics, swiftly address any safety concerns, and empower students to fully embrace their experience. You will be working as a team with the Legal Associate (typically someone with a US JD background who is responsible for the educational aspect of the program) in your assigned program location.
This position is a seasonal, full-time, contract position with a pre-established start and end date. It is required that candidates are able to attend a 4 day online training, plus a 10 day in-person training in Alicante, Spain, prior to the program start date (dates below).
What You’ll Do:
The job duties listed below are not all inclusive of what the employee may be responsible for. Other duties may be assigned as needed:
Pre-Program:
- Complete required online and in-person training in Alicante, Spain (Online dates: 14th - 17th April, In person dates: 21st - 30th April).
- Collaborate with the Senior Operations Team to review program details and logistics.
- Get in touch with the law firms, lawyers and legal institutions regarding the legal activities
- Coordinate with training room providers, housing, meal, and excursion providers to organize & finalize arrangements of your programs
- Participate in preparation calls and ensure all necessary communications are sent to students and partners.
- Prepare and distribute welcome materials to students
During Program:
- Lead in-country orientation for students and ensure smooth logistical operations, including organizing, and coordinating transportation, excursions and tours, meals, law firm visits, workspace for legal training sessions and accommodations.
- Oversee program budgets and manage on-site funds, payments, and receipts.
- Accompany the group to all planned activities and serve in a 24/7 on-call capacity, managing emergency protocols if necessary.
- Engage with students to enhance their shadowing experience and share insights on local law and cultural contexts, whilst maintaining a positive and flexible environment for program participants
- Provide daily updates to the Senior Operations Team and maintain clear communication with students, law firms, lawyers, and partners.
- Document program activities through photos and videos to share with the Senior Operations Team.
Post-Program:
- Complete offboarding tasks, including expense reporting and financial reconciliation.
- Collect and submit feedback forms based on program experience and your interactions at Lex
- Ensure all records, including key contacts and program details, are updated in the database.
What Makes a Great Candidate:
- Attained a Bachelor’s degree or higher
- Proficiency in English and Italian, with strong written and verbal communication skills
- Proven ability to manage and coordinate groups, particularly in international settings (preferably working with our target group)
- Experience working with college students and faculty, ideally in education abroad or related environments.
- Strong organizational and time management skills, with the ability to manage multiple tasks simultaneously.
- Excellent interpersonal and community development skills, with the ability to build relationships across cultures.
- Demonstrated ability to handle crisis management situations with poise, professionalism, and effective problem-solving.
- Ability to represent Lex with enthusiasm, integrity, and professionalism, upholding the organization’s mission and values.
- Possesses strong judgment, with excellent negotiation and decision-making skills, with experience in policy enforcement and conflict resolution.
- Previous international study, internship, work, or volunteer experience is a plus.
- Collaborative team player who is visible, accessible, and supportive of students throughout the program.
- Flexibility to travel/temporarily relocate at late notice should it be required

Employment Terms: Programs run from May to August 2025. The Student Coordinator will also take part in a 4 day online, and 10-day Project Planning Course that will take place in mid-April in Alicante, Spain. The position is a contractor position. This is a full-time position, as standard is Monday to Friday. However, we will require candidates to have flexibility in working hours and days, and some weekend work will be required.
Compensation: €2000 - €2200/month including variable bonus
