Job Summary
Perform daily administrative activities of the Conservation District (CD). Provide task support to administrative lead worker.
Essential Job Functions
- Assist with office administration of the CD including answering phones, greeting visitors, preparing correspondence, mail distribution, answering resident requests for information.
- Assists with administrative operations, including agenda distribution, meeting scheduling, making copies, scanning/archiving construction plans, assembling staff reports, preparing bulk mailings.
- Performs fiscal operations of the CD. This includes preparing contract documents, documenting/tracking expenditures, preparing invoices and requisitions in Lawson, assisting with accounts receivable payments and reimbursements, and budget reports.
- Assists in collecting or receiving payments due to the CD and maintaining accurate related records.
- Assists department staff with special projects, reports or assignments or in administration of special department functions, as requested, (i.e., annual tree sale, etc.).
- Attends meetings and/or training sessions as required.
- Performs other job-related duties as assigned.
- Assist with office supply inventory and order supplies as needed
Minimum Requirements to Perform the Work:
- High school diploma or equivalent plus business, accounting, public administration and computer training.
- 1-3 years working experience in administrative/office role
- Must have strong public relations skills
- Possess strong accounting skills
- Experienced with Microsoft Office
- Must be able to effectively exchange information with supervisors and staff in the English language; must be able to effectively give written and/or oral instructions.
- Must possess ability to function independently, have flexibility and personal integrity and the ability to work effectively with clients, co-workers and others.
- Must possess average technical knowledge of operating personal computers and other office equipment.
- Must possess knowledge and ability to practice current and accurate usage of grammar, spelling and filing procedures. Ability to proof typed material and make corrections before making material available to the public.
- Must possess ability to learn assigned clerical tasks and adhere to prescribed departmental procedures.
- Must possess ability to perform simple math calculations with accuracy and reasonable speed and to utilize spreadsheet software.
- Must possess ability to perform a variety of duties and efforts and work well with other county departments
- Must possess the ability to develop a general knowledge of all district programs and functions.
- Must possess the ability to understand the functions of local, state and federal cooperating agencies.
- Must be able to sit for long periods throughout the workday, with intermittent periods of standing, walking, bending, twisting, and reaching necessary to carry out duties of job.
- Requires very coordinated dexterity of fingers/hands; arms/legs; torso necessary to carry out job duties.
- Sedentary work, with occasional lifting/carrying of objects with a maximum weight of ten pounds.
- Must be able to move frequently throughout the workday as needed to carry out essential job duties.
- Works indoors in adequate office space with adequate lighting, ventilation and temperatures.
- Works with average indoor office exposure to noise and stress, but subject to frequent disruptions.
- Normal indoor exposure to dust/dirt.
- Must be available for early morning, evening or weekend meetings or emergencies.
