We are looking for a detail-oriented, organized, tech-savvy, and proactive candidate to help coordinate and maintain the safety, compliance, and maintenance of our fleet of over 200 trucks.
Position Overview:
As a Fleet Service Coordinator, you will be responsible for providing administrative support for the day-to-day operations of our fleet. Your primary focus will be on maintaining accurate records, ensuring compliance with safety regulations, scheduling and coordinating truck maintenance, and managing all safety and compliance documentation. You will collaborate closely with internal teams, vendors, and drivers to ensure our vehicles remain compliant and operate at peak performance.
Key Responsibilities:
- Preventative Maintenance Coordination: Track and follow up on PM schedules for the entire fleet, ensuring timely maintenance and minimizing vehicle downtime.
- Maintenance Scheduling: Coordinate and schedule repairs or service needs with Ryder and other maintenance providers; monitor progress and follow up on completed tasks.
- Work Order Management: Update and enter work orders in our internal systems, ensuring accuracy and completeness of service records.
- Compliance & Safety Monitoring: Ensure all fleet vehicles meet compliance standards and government regulations, including state inspections, registrations, and safety policies.
- File Management: Maintain accurate and up-to-date records, including service history, inspection reports, and registration documents.
- Vendor Communication: Serve as the primary point of contact for external maintenance vendors, ensuring adherence to company standards and resolving any service-related issues.
- Administrative Support: Generate reports, provide reminders for upcoming maintenance tasks, and coordinate with internal teams to support overall fleet safety and efficiency.
Desired Qualifications:
- Experience: 2 years of administrative or coordination experience, preferably in fleet management, trucking, or a related field.
- Education: High school diploma or GED required.
- Technical Skills: Proficiency in Microsoft Word, Excel, and Outlook; experience with fleet management software is a plus.
- Organizational Skills: Strong attention to detail, with the ability to juggle multiple tasks and manage time effectively.
- Communication: Effective verbal and written communication skills; ability to liaise with drivers, vendors, and internal staff.
- Licensing: A valid driver’s license and reliable transportation are required. CDL Class A license is a nice to have but not mandatory.
