Job Overview
We are seeking a compassionate, detail-oriented Mental Health Medical Office Assistant to join our team. In this role, you will support our mental health practitioners in delivering high-quality patient care. The Medical Office Assistant is responsible for various administrative and clerical tasks to ensure smooth office operations, patient satisfaction, and the confidentiality of patient information. Key Responsibilities:
- Patient Reception and Support
- Greet patients warmly and create a welcoming environment.
- Assist patients with check-in and check-out processes.
- Provide information about the clinic’s services, policies, and procedures.
- Appointment Scheduling and Coordination
- Schedule, reschedule, and confirm patient appointments.
- Coordinate follow-up appointments as needed and send reminders to patients.
- Assist with managing provider schedules to optimize patient care.
- Insurance Verification and Billing Support
- Verify and update patient insurance information before appointments.
- Assist with patient financial responsibilities by explaining co-pays, deductibles, and balances.
- Collaborate with the billing department to ensure accurate and timely claims submissions.
- Record Keeping and Documentation
- Maintain accurate patient records, including scanning, filing, and data entry.
- Update patient charts and documentation as directed by the clinical team.
- Ensure patient confidentiality and compliance with HIPAA regulations.
- Administrative and Clerical Tasks
- Answer phone calls, respond to emails, and direct inquiries appropriately.
- Assist with office supply inventory and order management.
- Support the clinical team with other administrative tasks as needed.
- Support for Patient Care Services
- Assist patients with completing necessary forms and paperwork.
- Ensure office spaces are organized, stocked, and ready for patient visits.
- Offer compassionate support to patients.
Qualifications:
- Education and Experience
- High School Diploma or equivalent; additional certification as a Medical Assistant preferred.
- Prior experience in a mental health or medical office setting is strongly preferred.
- Skills and Abilities
- Strong communication skills with a compassionate and patient-centered approach.
- Proficiency in office software and electronic health records (EHR) systems.
- Excellent organizational skills and attention to detail.
- Ability to multitask and prioritize tasks in a busy environment.
- Knowledge
- Understanding of HIPAA and patient confidentiality regulations.
- Familiarity with insurance processes and basic billing procedures.
- Awareness of mental health conditions and sensitivity to mental health needs.
