HR Associate, (Benefits)
The HR Associate, Benefits is responsible for supporting benefits and life event administration, as well as leave of absence and accommodations specific to the Americas region (U.S., Canada, Colombia, Mexico).
Our benefits platform spans healthcare, income protection, retirement plans, well-being programs, paid time-off, and leave administration.
The role will also participate in the maintenance and enhancement of benefits and life events in our HRIS (Workday) system, including business process improvements, Open Enrollment, qualifying life event changes, data management, reporting, and employee experience initiatives.
Additionally, the HR Associate, Benefits will respond to employee inquiries within Workday Help and act as the first point of contact for general benefits-related questions.
The Ideal Candidate:
- Has U.S.-based benefits and leave administration experience.
- Is familiar with HRIS systems (Workday preferred).
- Can handle sensitive accommodation and leave requests while maintaining confidentiality.
- Works well under pressure and meets tight deadlines with accuracy.
- Is confident presenting to employees, including in group settings.
Key Responsibilities:
- Support the Benefits Manager in administering health insurance, income protection, retirement, time-off, and well-being benefits across the Americas.
- Act as a subject matter expert in benefits and leave administration at the federal, state, and local levels (particularly in Massachusetts).
- Assist Canadian employees with benefits onboarding, life event changes, and benefits-related questions.
- Participate in the rollout and enhancement of benefits administration in Workday, including Open Enrollment and qualifying event changes.
- Assist with the implementation of new benefits and support new office openings.
- Collaborate with vendors on contracts, invoices, and benefits reconciliation with Finance.
- Respond to employee benefits inquiries via Workday Help.
- Assist with compliance-related requirements such as non-discrimination testing, ACA/1095-C filings, and HIRD reporting.
- Support audits and compliance initiatives to maintain regulatory standards.
- Provide assistance on ad-hoc benefits projects as needed.
Required Skills & Experience:
- Ability to work independently and within a team.
- Strong confidentiality and integrity when handling sensitive benefits and leave-related information.
- Exceptional organizational, time management, and project management skills in a fast-paced environment.
- Strong interpersonal and communication skills with a customer-service mindset.
- Proficiency in Microsoft PowerPoint and Excel (pivot tables, VLOOKUPs, IF statements, charting/graphing).
- Experience with Workday benefits and absence modules is a plus.
Education & Experience:
- Bachelor’s degree or equivalent experience.
- 3 years of HR experience, specifically in benefits administration (Workday and absence management experience preferred).
- Familiarity with U.S. federal and state labor laws related to benefits administration.
