THIS ROLE:  

The Office Assistant is responsible for supporting office operations including but not limited to answering phones and general inquiries, directing incoming communication appropriately, and supporting the organization with a variety administrative functions.

  

WHAT YOU’LL DO:      

  • Professionally screen Curtin Maritime general phoneline and direct calls and customer questions to appropriate parties. 
  • Monitor incoming emails and direct inquiries to appropriate personnel. 
  • Check PO Box for any incoming mail or deliveries and drop off mail to Post Office 
  • Distribute incoming mail throughout office to appropriate parties and departments. 
  • Create FedEx shipping labels and drop off packages as needed. 
  • Maintain storage locker for company apparel & swag. Monitor inventory levels and communicate with People Services manager when in need of replenishment. 
  • Use computers for scanning, electronic filing, light excel work. 
  • Greet job candidates, visitors, clients, or vendors and direct them to the appropriate personnel as needed. 
  • Support maintenance of electronic databases, filing systems, and records. 
  • Other administrative tasks as needed. 

WHO YOU ARE: 

Position Requirements 

 

  • High School diploma or equivalent 
  • 2 years customer service and/or administrative experience 
  • Proficiency in MS Office applications (Word, Excel, Outlook, Adobe) 
  • Excellent communication skills both in person and by phone 
  • Valid driver’s license is required to make occasional office errands

Physical Aptitudes 

 

  • This is primarily a sedentary role; however, some lifting is required 
  • Ability to lift up to 30 pounds for swag deliveries and related supplies 
  • The work environment requires frequent use of stairs 
  • This role routinely uses standard office equipment such as computer, phones, photocopier, etc. 
  • Practice safe work habits and wear protective safety equipment
