Job Description:
Under general supervision, employee performs all duties associated with customer service and sales in a polite, empathetic and professional manner. Exercises independent judgment and discretion in communicating with customers to ensure satisfaction while adhering to company policies and industry standards.
Key Responsibilities:
- Provide customers with pricing, delivery, and product information in a timely and professional manner via email, phone, and virtual meetings.
- Consistently and thoroughly monitor and address commercial requirements in customers’ portals and forward quality and technical requirements to the appropriate CCS Department.
- Facilitate RFQs internally with Accounting and Production departments in collaboration with Outside Sales and prepare Quotations accordingly.
- Validate incoming purchase orders for accuracy (drawing revisions, pricing/lead time accuracy, shipping/payment terms, quality requirements, etc.)
- Coordinate contract review with relevant internal stakeholders to ensure prompt confirmation to customers.
- Process customer purchase orders through Syteline MRP system ensuring orders are entered considering optimized efficiency for Production planning.
- Notify customers of changes to schedule and communicate customer change requests to Production.
- Act as a liaison between the customer and various departments within the company.
- Identify and resolve customer concerns promptly and effectively ensuring customer satisfaction.
- Escalate complex issues to the appropriate personnel.
- Maintain accurate records of customer interactions.
- Correspond in a professional and civil manner. Maintain a professional demeanor and represent the company positively.
- Build and maintain positive relationships with customers.
- Perform other essential tasks as assigned.
Skills and Requirements:
- Applicant must be legally authorized to work in the U.S. and ITAR compliant.
- Exceptional written and verbal communication skills.
- Excellent Excel and Word Skills.
- Strong computer program acumen and high aptitude for digital literacy to efficiently navigate customer portals and Syteline MRP system.
- Familiarity with Export Compliance regulations.
- Ability to acquire and communicate technical knowledge of the Company’s product lines, markets, and applications.
- Ability to effectively and professionally present information and respond to questions from customers and coworkers.
- Team oriented with the ability to interface effectively with various interlocking departments.
- Ability to manage multiple tasks and prioritize workload.
- Ability to exhibit strong attention to detail, accuracy, and thoroughness.
- Maintain a continuous improvement focus.
- Possess adaptability, flexibility, and maturity to represent the Company positively.
- Ability to work well with only a modest amount of repeated instructions.
