Role and Responsibilities:
We are seeking an Accounting Assistant to join our team and provide administrative support across multiple areas of our accounting department to help ensure that daily accounting processes run smoothly.
- Assist with billing, collections, and tracking customer payments.
- Monitor overdue accounts and follow up on outstanding invoices.
- Prepare and maintain accurate accounts receivable reports.
- Process vendor invoices and ensure timely payments.
- Assist with reconciling vendor statements and resolving discrepancies.
- Prepare and maintain accounts payable reports.
- Assist with data input for employee payroll, ensuring accuracy and compliance with company policies.
- Maintain payroll records and assist with generating payroll reports.
- Support payroll processing during peak times and ensure payroll deadlines are met.
- Assist with preparing monthly, quarterly, and annual financial reports.
- Reconcile general ledger accounts to ensure accuracy of financial data.
- Assist with preparing financial statements for management review.
- Manage, monitor, and sort incoming mail for the Accounting Department.
- Respond to and manage incoming electronic communications, inquiries, and requests.
- Assist in preparing and filing administrative documents such as tax returns, charity filings, and program credentialing.
- Support NetSuite data maintenance, including updating and managing vendor and customer records.
- Assist with managing corporate credit card accounts and other company-wide vendor accounts.
- Prepare supporting documentation for administrative reports submitted to state authorities, including sales tax returns, property tax returns, and other state filings.
- Ensure confidentiality and security of sensitive accounting records and files.
- Help maintain organized and up-to-date filing systems for all accounting-related documentation.
- Support the Controller and other Accounting Department staff with various financial tasks as needed.
- Help prepare for audits by gathering required documentation and assisting auditors.
- Assist in monthly and year-end closing processes.
- Provide backup support for other accounting functions (Accounts Receivable, Accounts Payable, Payroll, and Financial Reporting) as necessary.
- Additional Duties:
- Assist with special accounting projects as assigned by the Controller.
- Maintain up-to-date knowledge of industry best practices and regulatory changes that may impact accounting practices.
- Provide training and support to junior staff or new hires within the department as needed.
Qualifications:
- Associate's degree in accounting, Business, or related field (Preferred)
- Minimum of (2) years of proven experience in accounting or administrative role.
- Familiarity with accounting software such as NetSuite, QuickBooks, or similar systems.
- Must possess the ability to maintain confidentiality and handle sensitive information with the utmost discretion and professionalism.

- Strong proficiency in Microsoft Office Suite and comfortable using technology to streamline tasks.
Physical Demands:
- Ability to sit and work at a desk for extended periods of time.
- Regular use of a computer and other office equipment, which may require prolonged periods of typing or data entry.
- Occasional lifting or carrying of office supplies, documents, or files up to 20 lbs.
- Ability to communicate clearly and effectively, both in person and over the phone or email.
- Ability to focus on tasks for extended periods, requiring good attention to detail.

Environmental Demands:
- Work is performed in a standard office environment with office furniture, lighting, and climate control (temperature may vary depending on the season).
- Moderate noise levels from phones, and office equipment.
- The position may require sitting for long periods at a desk.
- Daily use of computers, printers, scanners, and phones to complete tasks efficiently.
