Position Overview
The Executive Events Planner is responsible for orchestrating high-profile corporate events, ensuring seamless execution from inception to completion. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously while collaborating with various stakeholders.
Key Responsibilities
- Spearhead ~25 events annually
- 30%-40% Travel, internationally and domestically, including overnight stays
- Be on-call to handle travel changes and adjustments
- Plan executive events and meetings, ensuring seamless logistics
- Manage and optimize executive travel arrangements
- Negotiate with vendors to secure premium services and pricing
- Research and select top-tier venues and event locations
- Create impactful, brand-aligned presentations and materials
- Oversee budgets and ensure financial compliance for events
- Coordinate catering, AV, and on-site logistics for events
- Deliver outstanding support to executives and attendees
- Use tools like O365, Asana, and Concur to streamline operations
- Reconcile expenses and assist with budget forecasts
- Provide personal assistance support to the principal during trips
- BA/BS degree in Business Administration, Hospitality, OR Communications
- 10 years of Proven experience in event planning, especially at the executive level
- Strong skills in vendor management and negotiation
- Excellent problem-solving abilities and attention to detail
- Outstanding customer service and communication skills, both verbal and written
- Ability to work collaboratively in a team environment
- Experience in handling VIP clients and sensitive situations with discretion
- Proficiency in travel planning and logistics coordination
- Familiarity with budgeting, forecasting, and expense management processes
- Proficiency in relevant software, including Microsoft Office Suite, Asana, Concur, and Saber
- Base Salary range $90-107k base Depending on Experience
