About the Role:
The Project Sales Estimator is responsible for developing accurate, timely, and professional project cost estimates and proposals. This role requires strong analytical, communication, and negotiation skills, as well as a thorough understanding of construction processes, materials, and regulations.
Key Responsibilities:
- Project Scoping and Collaboration: Collaborate with Sales Representatives, Account Managers, and clients to define and clarify project scopes of work (SOWs). This includes conducting pre-construction reviews with sales and construction personnel and post-project cost assessments with the construction and sales teams to improve proposal accuracy and analyze win/loss data for pricing adjustments. Conduct meetings (on-site or remotely) with sales representatives, subcontractors, and clients to clarify SOWs and generate quotes/proposals.
- Cost Estimation and Quotation Development: Develop detailed, itemized cost estimates for equipment, installation, start-up (including training, if required), labor, and materials. This includes:
o Reviewing project engineered drawings, geotechnical soil reports, bid requirements, and specifications, noting specific requirements from pre-bid walk-throughs.
o Confirming, negotiating, and securing accurate costs from suppliers and subcontractors, considering established D&H United pricing, special vendor/customer pricing, manufacturer trade-in credits, and vendor incentives. This requires coordination with D&H United Procurement and Sales personnel.
o Identifying and estimating all construction and service labor and material costs, defining labor hour requirements by project phase (daily, weekly, and monthly totals).
o Analyzing cost-affecting data (e.g., surcharges, company productivity goals) and incorporating it into estimates.
o Ensuring well-written SOWs with clearly defined exclusions in estimates and final quotes.
- Subcontractor Management: Research, source, negotiate with, and manage a network of reliable and cost-effective subcontractors. Coordinate with subcontractors to clarify their scope of work for project quotations.
- Proposal Preparation and Submission: Generate and prepare detailed quotation estimates for internal review and adjustment before client submittal within RFQ timeframes. Compile all required submittal documentation (e.g., equipment cut sheets, company information, organizational charts, insurance qualifications, resumes) in the required RFQ format.
- Permitting and Regulatory Compliance: Understand the permitting process and include associated costs (permits, fees, engineered drawings, approvals from authorities having jurisdiction [AHJs]) as specified in the SOW. Stay current with local and state regulatory and legislative requirements.
- Risk Assessment and Cost Control: Conduct periodic risk assessments throughout project stages to maintain estimate accuracy and ensure expenses align with forecasts. Assess project risk levels and clarify any uncertainties to ensure proper cost inclusion/exclusion in final bids.
- Pricing Strategy and Analysis: Secure and maintain competitive pricing for projects and equipment. Collaborate with Sales Representatives, Procurement, and Vendors to ensure optimal cost and sell prices based on competitive data. Gather input from sales, construction, and operations to develop accurate estimates and understand schedules and backlog. Recommend alternative solutions to reduce costs, improve project quality, or enhance schedules.
- Bid Approval Process: Submit a "Pre-Final Bid" form to the Sales Representative/Account Manager for line-time and gross margin adjustments. Submit the "Final Bid form" to Management and Department Managers for final approval and gross profit margin confirmation. The Sales Representative/Account Manager will then submit the quotation to the client.
- Documentation and Record Keeping: Maintain organized files and documentation to support estimate figures, including current and accurate pricing information from suppliers (direct contact, brochures, price lists)
What You’ll Bring:
- Bachelor's degree in construction management, Engineering, or a related field (or equivalent combination of education and experience)
- Minimum 2 years of experience in Petroleum construction sales, estimating or project/construction management (Preferred)
- Strong analytical and problem-solving skills
- Proficiency in estimating software and Microsoft Office Suite
- Excellent communication and interpersonal skills
- HAZWOPER 40 certification (preferred)
- PMP, Six Sigma, or Lean Manufacturing certifications (preferred)
- Ability to pass pre-employment testing including drug test and background check
