Purpose of Position : The Chief of Staff serves as a confidential advisor to the President, oversees the staff in the Office of the President, plans key meetings and projects, liaises between the President and key external and internal groups, manages the office budget, oversees significant communications with campus stakeholders, and serves as liaison to the Board of Trustees.
Tasks / Duties Performed :
The Chief of Staff
- Serves as a confidential advisor to the President and as a member of the President's Cabinet
- Coordinates and oversees the flow of incoming and outgoing communication
- Prepares and / or contributes to the preparation of reports, proposals, briefings, and presentations
- Composes, edits, and proofreads a wide variety of materials and documents
- Maintains the President's calendar, ensuring accuracy and event details
- Organizes the President's travel schedule
- Facilitates the effective planning and organization of all presidential meetings
- Represents the President and / or Board of Trustees to various campus constituencies and at events within the community
- Serves as the President's representative on committees and task forces.
- Serves as a liaison between the President and other campus constituents
- Promotes a positive image of the college at all times
- Safeguards the confidentiality of the institution and exercises appropriate discretion in handling confidential matters and records
- Attends all Board, cabinet and special group meetings (as assigned) to record, prepare, distribute, and create a written record as needed
- Answers inquiries, makes appropriate referrals, and resolves problems, especially those that require the interpretation, explanation, and justification of administrative policies and procedures
- Supervises the staff within the Office of the President
- Manages the financial records for the Office of the President and coordinates the payment of bills
- Plans and coordinates all events at the College originating from the Office of the President
- Serves as co-chair of the College's Commencement Committee, including scheduling and overseeing meetings with campus constituents involved with the event
- Undertakes special projects and performs other duties as assigned by the President
- Organizing and attending all Board meetings
- Taking, editing, and distributing all meeting minutes
- Coordinating, preparing materials for, and recording official actions of Board meetings, committee meetings, and trustee orientations
- Preparing and providing safekeeping for the permanent records and minutes of the Board, and supervising the distribution of and access to records and minutes
- Maintaining current official texts of College documents, including the College charter, Board bylaws, and corporate resolutions
- Assuring compliance with Board and College operating policies and procedures
- Managing college communications with the Board, providing support services to all Trustees, and overseeing the Board portal and publications
- Understanding and being able to interpret Board and College operating policies and procedures
- Master's degree
- Evidence of the ability to handle high level and sensitive confidential information with the highest integrity
- Ability to multi-task and to respond quickly to changing priorities and emerging situations
- Strong attention to detail and excellent organizational skills
- Strong professional oral and written skills
- Ability to work in a fast-paced environment
- Excellent technology skills and ability to continue to learn emerging technology
- Experience supervising others and setting high performance expectations
- Demonstrated experience managing high profile, significant, and confidential matters
- JD or other terminal degree
- Experience in higher education and / or in an executive office
