Salary : $18-$20 per hour
The Executive Administrative Assistant provides secretarial support to the Executive Director of the Agency and other Central Office staff as directed by the Executive Director. Also serves as secretary to the DAEOC Board of Directors by performing the following duties personally or through subordinates.
Essential Duties and Responsibilities :
- Serves as administrative Assistant to the Executive Director and maintains DAEOC administrative files.
- Manages Executive Directors calendar and schedules meetings.
- Makes necessary travel arrangements including flights, hotels, etc. for Executive Director and various other senior staff members.
- Organizes and sets up conference calls, coordinates office activities, schedules meeting facilities, etc. for senior staff.
- Provides secretarial services for other Central Office staff as directed by the Executive Director.
- Serves as secretary to the DAEOC Board of Directors Chairperson and Committees including but not limited to, maintaining and distributing correspondence and meeting minutes, compiling information for meetings and supports the Board Committees in their on-going work in terms of meetings schedules, membership, attendance and reports.
- Develops a new Board Members orientation, training packet and works with the board on its implementation providing one-on-one training to new members as needed.
- Supervises the Agency Receptionist, office helper and other clerical support staff as assigned by the Executive Director.
- Supervises the usage and maintenance of Agency office equipment, supplies and technological devices (i.e., voice mail, e-mail, etc.)
- Serves as the liaison to the Executive Director for Program Directors, administrative and secretarial staff.
- Serves as the Sunshine Law Caretaker for the Agency.
- Answers questions / inquiries from general public. Handles confidential calls, screens Executive Director calls, monitors projects and ensures they are completed on time and communicates on behalf of Executive Director through e-mail, letters, telephone, etc.
- Create and manage social media platforms.
