What are the responsibilities and job description for the Executive Administrative Assistant position at YWCA of Metro St. Louis?
The Executive Administrative Assistant position provides strategic administrative support to the Chief Administrative Officer, Chief Economic Inclusion Officer, and Chief Financial Officer. This is a highly-visible support role with an expectation of seamless attention to detail in delivering a dynamic level of support to the Executive Leadership Team. This role is integral to the fluid communications between the various departments, YWCA staff, the Board of Directors, Committee members, vendors, and visitors. This role is one of trust and autonomy in completing tasks on behalf of the Executive Leadership Team.
- Maintains executive calendars, schedules meetings, communicates changes and ensures accuracy.
- Supports areas of communications by contacting or emailing appropriate groups to coordinate day-to-day operations.
- Prepares documents and manages correspondence, presentations, spreadsheets, databases, and reports.
- Provides file management support as needed.
- Completes expense reports and assists with travel arrangements.
- Assists with the purchase of office items like supplies, small equipment, or furniture.
- Demonstrates the ability to provide customer service in all aspects of job duties.
- Screen all incoming calls, inquiries, visitors, and correspondence.
- Attend meetings on an as-needed basis to take minutes and send correspondence out.
- Manage special initiatives as assigned by the ELT
- Screen requests as necessary.
- Work closely with the Executive Assistant to President & CEO
- Maximize efficiency and productivity, following up on any issues and concerns addressed to the ELT, including those of a sensitive or confidential nature.
- Other duties will be assigned depending on the Executive’s needs
- High School Diploma required. Bachelor’s degree preferred.
- Three to five years of experience working directly with Executives or in a comparable position dealing with sensitive information and is accustomed to providing a high level of excellent service.
- Skilled at effectively presenting information and responding to questions from the Executive Leadership Team.
- Ability to solve complex problems, and think innovatively, creatively, and strategically.
- A willingness to do what is needed to get the job done.
- Must be flexible, extremely well organized, and detail-minded. Adept at follow-through, especially in the management of detail and juggling multiple priorities.
- Capable of handling several tasks simultaneously and self-managing time and task priorities
- Advanced level proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook, with the ability to learn other software applications quickly.
