Position Overview
The Manager / Senior Manager, US Facilities is a hands-on manager and a key member of the Global Facilities team. They are responsible for the on-site day-to-day oversight of a wide range of facilities functions and operations at DAI’s offices in Bethesda, Maryland including :
Internal facilities administration
Office safety and security, including OHSA compliance
Shipping and receiving
Space management
Physical record retention
They are also responsible for providing day-to-day supervision and management of the on-site US facilities team ensuring they provide high-quality, customer-oriented support to DAI staff, visitors, and vendors.
This is a full-time, permanent position that requires the ability to work in the United States without sponsorship.
Important to know about this role : This position requires the incumbent to be able to work on-site at DAI’s Bethesda, MD offices 5 days a week during standard business hours, as well as be “on-call” in the event of an after-hours emergency. This position also requires that the incumbent be able to bend, twist and lift 30 lbs. to move office furniture and / or other equipment.
Responsibilities
Facilities Management
Manages all aspects of the US Facilities and onsite Facilities Team.
Establishes and maintains high quality standards and operational cost controls for all facilities services.
Oversees the assignment of requests and inquiries, and handling of general facility services. Ensures that the team responds appropriately to service requests in timely manner.
Responsible for all operational aspects of building systems including training and supporting the Facilities Team on these systems.
As need, oversees the work of service providers (i.e., electricians, plumbers, HVAC, general contractors, etc.) contracted to carry out work on premises.
Serves as project manager for internal space allocation and resulting moves. Works closely with management to ensure any changes in workplace setups or moves are clearly communicated to staff and executed with minimal disruption.
Coordinates the purchase of office equipment, adhering to budgetary and space requirements.
Seeks out and implements best practices for facilities management.
Manages the day-to-day relationship between DAI and the property manager in terms of housekeeping and routine maintenance in accordance with the lease agreement.
Records Retention
Manages DAI’s US record retention program including coordination with the external records retention vendor, and DAI project staff.
Shipping & Receiving
Manages DAI’s US shipping, receiving, and mail systems including all procedures and processes to maintain a network of secure services for efficient and effective receipt and transfer of goods.
Office Safety & Security
Assures DAI’s compliance with OSHA requirements regarding workplace safety.
Designs, updates and trains staff on facilities emergency and evacuation plans.
Manages and maintains DAI’s facility to the safest possible standards, including access control.
Serves as liaison with local / federal law enforcement and fire / EMS rescue officials, when needed, regarding safely and security matters.
Staff Supervision
Provide daily supervision and training for direct reports.
Communicate clear performance goals and ensure staff receive regular feedback throughout the year.
Ensure that direct reports complete required trainings and have the skills and support to successfully carry out their responsibilities. Work with department / group head to ensure direct reports have access to appropriate professional development opportunities.
Ensure that all direct reports adhere to DAI values in all internal and external interactions.
Address direct report’s performance issues in close collaboration with department / group head and human resources in a timely manner.
Additional responsibilities as deemed necessary.

Qualifications & Skills
Minimum Requirements :
Grade P5 (Manager) : Minimum of 4 years of relevant professional experience managing office space and a college degree. Equivalent combinations of education and experience will be considered.
Demonstrated knowledge of state and federal occupational health and safety requirements.
Current First Aid and CPR / AED certification.
Excellent attention to detail.
Self-directed with strong organizational skills and the ability to prioritize multiple tasks / competing deadlines simultaneously.
Professional proficiency in MS Office suite.
Able to work with minimal oversight.
Able to handle confidential and / or sensitive information with discretion.
Excellent written and oral communication skills, with the ability to communicate clearly and professionally in English with internal and external clients, and tailor communication style to diverse audiences.
Able to build and maintain excellent working relationships with staff at all levels of the organization and external clients from diverse backgrounds. Including building and maintaining positive and productive professional relationships with property management and housekeeping staff.

Requirements for Senior Manager (P6) :
Minimum of 5 years of relevant professional experience managing office space and a college degree. Equivalent combinations of education and experience will be considered.
OSHA certification such as : Certified Safety and Health Official (CSHO), Certificate for Occupational Safety Manager (COSM) or Certified Occupational Safety Specialist (COSS) or similar general industry OHSA certifications.
At least 2 years of prior supervisory experience.
Preferred, but not required at P5 :
OSHA certification such as : Certified Safety and Health Official (CSHO), Certificate for Occupational Safety Manager (COSM) or Certified Occupational Safety Specialist (COSS) or similar general industry OHSA certifications.

Able and willing to adjust work schedule, if needed, to support teams located in different time zones / countries.
Able and willing to travel to any country where DAI currently operates, or may wish to operate, barring times when DAI Global Security has deemed travel unsafe.
Compensation & Benefits :
For P5 : For employees working the United States, the full-time equivalent annual base salary for this position is expected to be between $82,417 to $96,962.
For P6 : For employees working the United States, the full-time equivalent annual base salary for this position is expected to be between $94,780 to $111,506.
Salary for part-time employees will be prorated based on actual hours worked. Actual offers will be based on several factors including, but not limited to, qualifications, relevant education, experience, skills, seniority, performance, and business or organizational needs.
Eligible U.S. based employees, will be able to enroll in medical, dental and vision insurance, plus a 401(k)-retirement plan with a company match. Additionally, employees will be eligible for company-paid annual leave (vacation & holidays), sick leave, parental leave; as well as short- and long-term disability coverage. Detailed information will be provided at the time a formal offer is extended.
