What You'll Do
Dakota County is seeking to fill a Senior Office Specialist position that will work in the Acquisitions & Cataloging unit located in the lower level of the Wescott Library. The person in this role will catalog all types of materials and formats to ensure prompt accessibility of materials to library customers, and clear, accurate, and inclusive discoverability of materials in the library catalog. The person in this role will also provide library acquisitions/selection services in a manner which will effectively and efficiently meet the needs of customers. The skills required of this position include: a high level of attention to detail, problem solving, customer service mindset, teamwork, willingness to learn; performs related duties as assigned.

• Two years of progressively responsible administrative or office work experience.
OR
• An equivalent combination of education and experience to equal or exceed two year directly related to administrative or office work experience.
PREFERRRED QUALIFICATIONS BEYOND MINIMUM REQUIRED:
• Library experience
• Copy cataloging or metadata experience
• Two years work experience with Microsoft Excel, Word, PowerPoint and Outlook.
• Basic PC skills and office services experience desired
1. Prepares catalog records for all types of materials and formats according to national rules and standards to ensure timely and accurate access of materials to library patrons. Performs catalog maintenance to ensure accurate representation of these headings according to national rules and standards, equity and inclusion values, and needs of the local community.
2. Under the direction of Selectors and the Acquisitions & Cataloging Managers, assists with the selection/order process: Follows procedures regarding evaluation and processing of vendor and publisher selection lists. Checks orders against the DCL database so no duplication will occur. Creates orders by manually entering data or by uploading from electronic databases in the computerized acquisitions system. Places orders upon receipt to ensure prompt receipts of materials and an orderly workflow. Contacts vendors to resolve problems.
3. Receives, verifies, and sorts materials ordered to ensure timely and accurate processing.
4. Demonstrates an in-depth working knowledge of Library system/catalog, software applications and computers to assist staff in providing service.
Essential functions of the position are as listed above.
• Knowledge to interpret and apply national cataloging rules including Anglo-American Cataloging Rules, RDA, and the USMARC Bibliographic Standards
• Knowledge of Dewey Decimal Classification system and Library of Congress subject headings
• Knowledge of automated library acquisition system and vendor distribution process
• Ability to analyze library materials for content
• Ability to analyze library descriptions for public service and inclusion needs
• Knowledge of English and math
• Ability to proofread with accuracy
• Ability to use specific computer hardware and software applications for library functions and services, and to use the internet
• Ability to work with vendors and department and county associates in a professional manner
• Ability to communicate effectively, both verbally and in writing
• Ability to work independently and as a team member
• Skills in organization and record management
Work Environment
The work is primarily sedentary, although there is some movement, travel, and transporting of items. The work is typically performed in an adequately lighted and climate-controlled office.
