Overview
We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our executive team and ensure the smooth operation of our office. This role requires a blend of administrative expertise, project coordination skills, and a keen attention to detail. The ideal candidate will be adept at managing multiple tasks, maintaining schedules, and providing exceptional clerical support.

This job reports directly to the CFO and CEO and is crucial to all partnership meetings (in office and virtual) and this employee will sit on all board meetings to take notes and provide input once they have an understanding of our roadmap.

Our goal is to train the individual to join our corporate strategy team and responsibilities and pay will increase however we are looking for a long term executive assistant/office manager to join us as we scale, raise capital, and continue to expand.

Responsibilities

  • Manage executive calendars using Google Calendar, scheduling meetings and appointments efficiently with clients and internal stakeholders.
  • Provide personal assistant services, including travel arrangements, reservations, and expense reporting.
  • Coordinate office projects from initiation to completion, ensuring deadlines are met and objectives are achieved.
  • Work with our GTM Project Manager to ensure efficiency between NYC and CA office with all net new service lines and ventures.
  • Utilize Google Suite for document creation, collaboration, and communication with team members.
  • Proofread documents for accuracy and clarity and work with our CFO to draft contracts and assist with review over time.
  • Assist with clerical duties such as answering phones, responding to emails, and managing correspondence.
  • Maintain office supplies inventory and coordinate with vendors for procurement as needed.

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role.
  • Strong computer literacy skills, particularly in Google Suite and Microsoft Office applications.
  • Excellent organizational skills with the ability to manage multiple priorities effectively.
  • Strong attention to detail and accuracy in all tasks performed.
  • Ability to work independently as well as collaboratively within a team environment.
  • Exceptional written and verbal communication skills.
  • Experience in project coordination is preferred but not required.
  • In person is required
