Administrative Assistant - Investment Management - Boston, MA
We are seeking candidates for an Administrative Assistant position with a top-tier investment management firm located in Boston, MA. This position will support two senior leaders while managing logistics, scheduling, coordinating meetings (local and global) and events, and maintaining vendor management. The ideal candidate will have 2-4 years of administrative experience in the financial services industry.
This is a 6-12 month contract-to-hire position that will pay $27-33/hr (depending on experience) within a 40-hour workweek. This position is required to be onsite 3 days/week in their Boston office.

Responsibilities:
- Support senior leadership in developing PowerPoint presentations for Business Unit and Department leadership meetings; coordinate agendas and meetings across US and international teams.
- Conduct weekly planning sessions with senior leaders to optimize calendars for productive meetings, strategic discussions, travel, and conference participation.
- Liaise with the AV (Audio/Visual) team to ensure smooth execution of internal and vendor-hosted events.
- Collaborate cross-functionally to streamline meeting management processes, including logistics and gathering post-meeting feedback.
- Prepare and distribute departmental reports, including project status updates as needed.
- Facilitate onboarding for new hires and internal transfers, including equipment setup and coordination.
- Manage expense processing for department leaders in accordance with compliance guidelines.
- Bachelor’s degree in related field required
- 2-4 years of administrative experience supporting operations within an Investment Management firm
- Strong organizational, time management, and detail-oriented skills
- Proficiency with MS Office Suite, including PowerPoint and Outlook
- Ability to interact with cross-functional teams and work both independently and as a team player
- Ability to manage multiple assignments and adapt to change and competing demands
- Must possess strong written and verbal communication skills
