Position Overview:
Dameron Hospital is seeking a highly organized and professional HIM Receptionist to serve as a key point of contact between hospital personnel, patients, outside agencies, and the Health Information Management (HIM) department. The HIM Receptionist will be responsible for receiving and processing requests for medical records, handling telephone inquiries, and ensuring the accurate and timely distribution of patient information. This role requires excellent communication skills, attention to detail, and a strong commitment to maintaining confidentiality and privacy in accordance with HIPAA and hospital policies.
Key Responsibilities:
- Medical Records Requests:
Serve as the primary liaison between the HIM department, patients, hospital staff, and external organizations regarding requests for personal health information. Ensure that medical records are accurately and promptly provided in response to requests. - Telephone and In-Person Interactions:
Receive and screen telephone calls and visitors, answering inquiries related to medical records and health information. Provide excellent customer service by conveying information clearly and with professionalism. - Medical Record Retrieval:
Accurately retrieve and provide requested medical records or encounter details 100% of the time. Ensure all records are provided in a timely manner and are properly documented. - Confidentiality & Discretion:
Exercise sound judgment and discretion when assessing the legitimacy of medical records requests. Ensure that all patient information is handled in strict adherence to confidentiality guidelines and HIPAA regulations. - Discharge Record Management:
Locate and provide discharge records upon request, ensuring prompt and efficient processing. - Fax and Document Processing:
Process office faxes and other document requests in a timely manner, ensuring that information is accurately received, logged, and forwarded to the appropriate department or individual. - Information Conveyance:
Effectively convey and interpret information to internal and external stakeholders, ensuring clear understanding of medical records procedures and protocols. - Customer Service Excellence:
Provide courteous and professional service to all individuals interacting with the HIM department, demonstrating tact and professionalism in all communications, whether in-person or by phone.
Qualifications:
- Education:
High school diploma or equivalent required. Associate’s degree in Health Information Management or related field preferred. - Experience:
Previous experience in a healthcare or medical records environment is highly preferred, but not required. Familiarity with medical terminology and basic knowledge of health information management processes is a plus. - Skills & Abilities:
- Strong communication skills, both verbal and written
