Summary
The Wine Club, Events, and Direct-to-Consumer (DTC) Administrator is the primary point of contact for members, prospective members, event inquiries, and guest communications at DANCIN. This role is centered around building strong relationships, ensuring high engagement, and fostering customer loyalty. You will oversee wine club initiatives, special events, private gatherings, and corporate functions—ensuring seamless execution and exceptional service.
Duties and Responsibilities
Wine Club Management
- Lead and manage wine club enrollment, retention, and engagement strategies.
- Cultivate relationships with members through exceptional service and personalized communication.
- Develop and execute exclusive wine club experiences (e.g., private tastings, educational events, member perks).
- Oversee membership records, payment processing, and account updates within club software.
- Generate monthly and annual reports on growth and retention metrics.
- Organize and execute wine club shipments and in-person pickups.
Event Planning & Execution
- Manage all aspects of event planning and execution for both in-house and guest-hosted events.
- Serve as the primary contact for event inquiries, pricing, and bookings.
- Develop detailed event proposals, pricing, and contracts, securing customer commitments.
- Coordinate logistics, staffing, rentals, and event setup.
- Work with the culinary team to curate menus and wine pairings.
- Oversee live entertainment bookings for the tasting room and events.
- Conduct post-event evaluations to improve future experiences.
Marketing & Customer Engagement
- Develop and execute email campaigns, newsletters, and promotions to support wine club and DTC goals.
- Assist in social media strategy, content creation, and engagement to promote membership and events.
- Maintain and update mailing lists for customer communication.
Guest Services & Sales
- Provide hospitality and concierge services, including booking and hosting private tastings.
- Answer and respond to calls, emails, and guest inquiries with professionalism.
- Identify and resolve customer inquiries with thorough research and follow-through.
- Assist with inventory management for wine club shipments and DTC sales.
- Handle off-premise, wholesale, and online orders, ensuring inventory and fulfillment accuracy.
- Process billing, invoices, and financial transactions related to events and memberships.
- Maintain event documentation, including guest requests, schedules, and financial details.
- Oversee repair and maintenance needs for event spaces and guest areas
- Other duties as assigned
Preferred Qualifications
- Degree in hospitality management, public relations, business, or relevant field: preferred.
- 2 years DTC or Wine Club Management experience in a premium winery, brewery or similar operation: required.
- Strong proficiency in Commerce7/WineDirect, OpenTable, Microsoft Office (Excel, Outlook, Word, PowerPoint).
- Experience in email marketing and social media management.
- Self-motivated with the demonstrated ability to think and work independently, creatively, and proactively anticipate and meet the needs of the team and act in the benefit of the team.
- Excellent written and verbal skills with a strong sense of professionalism.
- Ability to manage multiple priorities, meet deadlines, and adapt to change efficiently.
- A passion for wine, hospitality, and exceptional customer service.
- Enthusiasm for sharing your pride for our products and our purpose to prospective members and guests.
- A high level of integrity; ability to handle confidential and sensitive information with discretion.
- Availability to work weekends, evenings, and event-based hours.
The position is full time in the Jacksonville, Oregon area (no remote) and includes a very competitive salary, health benefits package, generous paid time off and a 401(k) Plan.
