Responsibilities:
- Answer and direct phone calls to the appropriate paralegals or case managers in a professionaland timely manner.
- Check incoming faxes, ensure correspondence is properly filed, and forward importantdocuments to the assigned paralegal or case manager.
- Maintain and organize client files, ensuring all correspondence and documents are accuratelysaved.
- Provide Personal Injury Protection (PIP) information to medical facilities and follow up whennecessary.
- Assist with scheduling appointments, meetings, and court dates.
- Maintain inventory of office supplies and ensure timely ordering of materials as needed.
- Greet clients, visitors, and vendors with a friendly and professional demeanor.
- Provide exceptional customer service, assisting clients with general inquiries in a courteous andrespectful manner.
- Maintain the cleanliness and organization of the office and kitchen areas to ensure a tidy andprofessional work environment.
- Coordinate with the legal team to ensure seamless workflow and support on various tasks.
- Help with filing and preparing legal documents as needed.
- Ensure the office calendar is up-to-date with important deadlines and appointments.
- At least 1 year of experience in a legal office (preferably in Personal Injury Law).
- Previous experience as a receptionist or in an administrative role is preferred.
- Bilingual in English and Spanish (required).
- Strong communication skills, both written and verbal in both languages.
- Proficient in Microsoft Office Suite and general office equipment.
- Ability to handle multiple tasks and manage time efficiently in a fast-paced environment.
- Detail-oriented and highly organized.
