Darlene’s Multimedia is a dynamic, woman-owned creative agency that helps businesses tell their stories—from lens to likes. We provide branding, photography, videography, and social media marketing services to a range of clients including med spas, home service providers, and small businesses.
We’re growing and looking for a proactive and detail-oriented Operations Assistant to join our team and keep our business running smoothly behind the scenes.
About the Role:
As our Operations Assistant, you’ll play a key role in ensuring day-to-day administrative tasks are handled efficiently so our creative team can focus on content and strategy. You’ll help maintain communication between clients and our team, track project progress, manage calendars, and handle social media reporting and scheduling tasks.
Key Responsibilities:
- Manage and respond to client emails professionally and in a timely manner
- Prepare and send proposals and service agreements
- Follow up with clients and check in on project timelines
- Coordinate and communicate with social media coordinators, photographers, videographers and other team members
- Fill out and maintain monthly social media content calendars for multiple clients
- Download, organize, and analyze monthly social media performance stats
- Assist with calendar and meeting scheduling for the owner
- Help maintain project management tools and keep tasks on track
- Provide general admin support as needed
Qualifications:
- Proven experience in an administrative, assistant, or operations support role (bonus if within a creative or marketing agency)
- Strong organizational and multitasking skills
- Clear and professional written communication
- Proficiency with Gmail, Google Calendar, Google Sheets, GoogleDocs and Google Drive
- Comfortable learning and using project management tools (we use GoHighLevel, and Canva)
- Basic understanding of social media platforms and editing& scheduling tools (we use Metricool and Capcut)
- Self-starter with the ability to take initiative and work independently
Preferred But Not Required:
- Experience working remotely
- Familiarity with Canva, Instagram, Facebook, LinkedIn, Youtube, Tiktok and social media analytics
- Background in marketing, communications, or business admin
