Job Summary:
The Receptionist /Legal Assistant will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. This role handles both traditional secretarial tasks and as well as tasks specific to the legal field. On an average day, this role will range from answering phones and sending emails, managing projects, to preparing subpoenas, motions, and other legal documents.
Duties/Responsibilities:
- Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location
- Maintain the reception area and conference room, keeping it clean and free of clutter
- Answers, screens, and directs phone calls to staff; takes messages and schedules appointments
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items
- File, organize, scan, copy and fax legal documents in an organized and timely manner
- Prepares, organizes, stores, and retrieves case files, which may include evidence, exhibits, depositions, pleadings, exhibits, and other items
- Manage legal documentation and correspondence in strict confidence
- Transcribe and proofread legal documents
- Accurately file documents with the court ahead of deadlines
- Facilitate administrative projects, meeting of deadlines, and provide timely reminders
- Performs administrative and clerical support tasks
Required Skills/Abilities:
- Excellent verbal communication skills
- Excellent interpersonal and customer service skills
- Ability to work independently and function as a team member with a wide range of people
- Working knowledge of all appropriate office skills and the ability to handle numerous tasks at the same time
- Familiarity with legal documents and terminology
- Proficiency with Microsoft Office programs
- Able to effectively prioritize and meet deadlines
- Demonstrate a courteous and professional demeanor
- Superior written and oral communication skills
- Familiarity with electronic court filing
- Bilingual speaking (English and Spanish) is a plus
Education and Experience:
- High school diploma or equivalent required
