Overview

Reviews and enters data related to trauma into the system of record. Performs follow-up and state reporting functions to ensure proper tracking.


Responsibilities
  1. Reviews clinical records of trauma patients and enters pertinent data into database.
  2. Abstracts patients from electronic medical record (discharge reports, admission logs and electronic medical record lists) and enters required information into the Trauma Registry Software.
  3. Assign & accurately score all injuries utilizing the Abbreviated Injury Scale and validate ICD diagnostic codes, operative codes, E-codes and modify as needed.
  4. Daily tracking and review of hospitalized patients included in the trauma registry.
  5. Reviews records to determine eligibility for inclusion into the NTDB (National Trauma Databank), state registry and hospital trauma registry.
  6. Abstracts information on demographic characteristics, diagnostic procedures, diagnosis, extent of disease, and treatment from patient medical record (electronic medical record)
  7. Abstracts information from pre-hospital databases & ensures appropriate transfer of information into the Trauma Registry.
  8. Maintains a concurrent understanding of the National Trauma Database (NTDB) Data Dictionary.
  9. Utilizes current National Trauma Databank Data Dictionary to identify and capture non-discretionary complications during initial case review.
  10. Concurrently captures DHMC Trauma Program specific discretionary complications and data elements.
  11. Provides support of the database including, but not limited to, training and education.
  12. Participates in the planning, design, implementation, maintenance, and evaluation of the database. These activities may include database building, programming, problem solving, data collection, and cataloging of gathered information, documentation of the process, etc.
  13. Participates in the process of revising and implementing changes in the database and responds to requests and concerns from users or others affected by the system.
  14. Organizes and participates in quality assurance reviews of Trauma Registry work by Dartmouth-Hitchcock (D-H) physicians.
  15. Organizes and participates in review of cases for submission to the NTDB
  16. Participates as an integral member within the Trauma Performance Improvement structure.
  17. Randomly selects records to be reviewed and validates abstracts against records. Responds to reviewing physician concerns.
  18. Participates in systems analysis and research related to the database including analyzing data to identify trends, systems issues, and improvement opportunities.
  19. Participates in presentations utilizing our trauma registry data dand contributes to the publication process.
  20. Analyze and interpret data to provide both routine and PRN reports of trauma statistics.
  21. Builds & abstracts information from registry software in the form of data analytic reports.
  22. Serve as integral part of regulatory trauma verification process.
  23. Attend registry vendor sponsored training and workshops to maximize trauma registry utilization and performance.
  24. Performs other duties as required or assigned.

Qualifications
  • High school graduate with 3 years of combined medical records and computer data base management/ data processing experience, or the equivalent required.
  • Extensive knowledge of anatomy and medical terminology required.
  • Strong organizational skills, with accuracy and attention to detail desired.

Required Licensure/Certifications

- Must complete the Trauma Registry Course from the American Trauma Society (ATS) and pass the Certified Specialist in Trauma Registries (CSTR) exam within 2 years of hire.
