SUMMARY:

The Fleet Analyst is responsible for utilizing fleet management tools to optimize fleet performance, safety, and cost-effectively to meet the organization’s fleet needs throughout the entire fleet. This will be completed by collaborating with branch managers, regional directors, and the safety team. The Fleet Analyst should be knowledgeable about vehicles as well as highly proficient in MS Excel. 

ESSENTIAL FUNCTIONS:

1. Cost and Budget Management

o Supports the development of an optimal vehicle replacement strategy using data driven approach along with creating a replacement evaluation criteria to drive replacement timing

o In accordance with purchasing policies, coordinates equipment and vehicle purchases; assigns unit numbers and schedules the outfitting of vehicles with operationally required equipment; negotiates costs and scope with vendors

o Conducts asset utilization analysis to determine appropriate fleet size and fleet allocation

o Developing cost control KPIs, establishing baseline performance, and driving continuous improvement in cost containment. This may include, but not limited to, total cost per mile, cost analysis of repair/preventive maintenance, taxes registration and original purchase price and fuel

2. Maintenance Management and Downtime Prevention

o Schedules and prioritizes all preventive and unscheduled vehicle service; checks finished work for accuracy and effective maintenance

o Maintains records of work to maximize warranty coverage on all service/parts

o Approves service activities and provides financial impact to key stakeholders within organization

o Supports the repair of accidental damage to vehicles. Supports immediate replacement of vehicles where downtime incidents occur

o Evaluates idle time of fleet and makes recommendations aimed to maximize use of fleet

o Evaluation of service centers for cost management

3. Vehicle Compliance and Inspection

o Manage the documentation of all fleet vehicles, which includes but are not limited to title, licensure and insurance as required by state, local and medical licensure

4. Safety and Driver Behavior

o In partnership with Regional Directors, monitor driver behavior using fleet telemetry tools identifying opportunities for education and training

5. Fuel Program and Cost Management

o Administers the distribution and use of WEX fleet fuel cards and pin numbers

o Protects company from misuse of fuel cards through fuel usage evaluations and reporting

Requirements

REQUIRED EDUCATION AND/OR EXPERIENCE:

• High school diploma or equivalent required (Undergraduate degree in related field preferred).
• Highly proficient in MS Excel.
• In-depth vehicle knowledge.
• Ability to communicate well both verbally and in writing.
• Ability to travel approximately 5% of scheduled work time.
• Ability to plan and organize work in an efficient and cost-effective manner and without direct supervision required.
• Ability to develop and maintain cooperative working relationships with all branch operations team members and contacts regarding company business required.
• Ability to adhere to standard operating procedures including but not limited to safety protocols required.
• Possession of a valid state issued motor vehicle operator’s license, and a good driving record required.
• Ability to successfully complete a criminal history background check annually required.

POSITION TYPE/EXPECTED HOURS OF WORK:

This is a part-time position up to 25 hours per week with flexible hours of work and days between Monday through Friday, 8:00am to 5:00pm. Occasional evening and weekend work may be required as job duties demand. Travel represents approximately 5% of work hours.

WORK ENVIRONMENT:

This work environment is a mix of office and warehouse. The noise level in the work environment is usually moderate, limited to equipment handling systems.

PHYSICAL DEMANDS:

The employee is typically required to sit; frequently stands, occasionally required to climb or balance and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 35 pounds and occasionally lift up to 50 pounds. Specific vision abilities required by this job include both close and distance vision, color and peripheral vision, depth perception and ability to adjust focus.
