We are seeking a highly organized, proactive, and tech-savvy Executive Assistant / Office Manager to support our executive leadership and oversee daily office operations. This role blends executive administrative support, personal assistance to C-level executives, office management, and stakeholder communication, making it essential for maintaining operational efficiency in our fast-growing AI and data engineering firm.
The ideal candidate will have prior experience providing high-level personal and executive support to CEOs, CFOs, or other senior leaders, ensuring seamless coordination, effective communication, and a well-managed office environment. This position is hybrid in Atlanta, GA, requiring both remote and in-office presence.
Key Responsibilities
Executive & Personal Assistance:
- Provide direct executive and personal support to the CEO and CFO, managing business and personal calendars, appointments, and commitments.
- Prepare presentations, reports, and key documentation for leadership meetings.
- Handle highly confidential business, financial, and personal matters with discretion and professionalism.
- Oversee travel arrangements, itineraries, reservations, and expense reports.
- Assist with personal tasks, such as scheduling personal appointments, handling correspondence, and coordinating personal logistics as needed.
Office Management & Operations:
- Ensure smooth daily office operations, maintaining office supplies, vendor relationships, and workspace organization.
- Serve as the primary liaison between executives, team members, and external stakeholders.
- Support HR functions, including onboarding, office policies, and internal communications.
- Manage IT and office infrastructure, coordinating with service providers when necessary.
Customer Service & Stakeholder Communication:
- Act as the front-facing contact for clients, partners, and visitors, ensuring a professional experience.
- Screen and direct calls, emails, and inquiries to appropriate departments.
- Maintain strong internal and external relationships, supporting high-level communication between executives and stakeholders.
Event & Project Coordination:
- Plan and coordinate corporate meetings, investor meetings, workshops, and executive events.
- Assist with client engagements, speaking engagements, and company-wide initiatives.
- Track KPIs, deliverables, and project timelines to ensure alignment with company goals.
Qualifications & Experience
✔ Experience in Personal assistant experience, Personal Assistant to C-Level Executives, or Office Manager, preferably in a startup or technology environment.
✔ Prior experience supporting CEOs, CFOs, or other senior executives in both business and personal capacities.
✔ Strong customer service and stakeholder management skills.
✔ Proficiency in Google Workspace, Slack, project management tools (Asana, Notion, etc.), and CRM systems.
✔ Experience with clerical tasks such as filing, transcribing, proofreading, and documentation management.
✔ Prior experience in event planning and coordination is a plus.
✔ Excellent organizational skills, attention to detail, and ability to prioritize multiple tasks effectively.
✔ Outstanding written and verbal communication skills for executive-level correspondence.
✔ Ability to work independently in a fast-paced startup environment and adapt to changing priorities.
✔ Based in Atlanta, GA, with flexibility for in-office presence as needed (hybrid schedule).
