Job Overview: The Project Coordinator will play a critical role in supporting the management team with various administrative, operational tasks and project team activities. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. You will help track the progress of projects, assist in maintaining compliance with state laws, support employee development, and ensure smooth project execution from start to finish.
Key Responsibilities:
- Payroll & Billing Support:
- Process timesheets.
- Invoice clients and follow up on billing procedures.
- Track and manage employee credit card usage, obtaining necessary approvals.
- Project Management & Tracking:
- Open projects in project management software
- Become the software specialist
- Set up new customers
- Review contracts for specific administrative compliance needs.
- Set up project budgets (provided by estimating/PM)
- Create and maintain clean project folders and house documentation properly
- Fully trained and proficient in project management software to track project accounting, input invoicing information, and run various project reports.
- Daily monitor project progress, labor costs, and total amounts spent
- Assist with project close out documents (O&M, test reports, etc.)
- Monitor communication with clients and accounts
- Invoice as necessary
- Track change orders
- Maintain project calendars
- Employee & Compliance Support:
- Assist in employee onboarding and the management of employee forms.
- Schedule and coordinate quarterly employee reviews.
- Customer Service & Communication:
- Provide exceptional customer service to clients, assisting them with any inquiries related to projects.
- Serve as a point of contact to field calls for management regarding project updates.
- Assist with customer complaints
- Prepare team meetings and attend when needed
- Assist with follow up action items from meetings
Skills & Qualifications:
- Experience in project coordination or similar roles, construction industry preferred.
- Proficiency with QuickBooks and project management software (or the ability to learn quickly).
- Proficient with Microsoft Office (Excel, Word, Powerpoint, etc)
- Strong organizational and multitasking skills.
- Excellent communication skills (both written and verbal).
- Detail-oriented with a focus on accuracy and efficiency.
- Ability to work independently and in a team environment.
- Knowledge of state employee laws and regulations is a plus.
- A positive attitude and eagerness to contribute to company culture.
- Ability to demonstrate use of good judgement and exercise discretion with customers and internal team
