Dauphin County Prison is currently accepting applications for the full-time position of Executive Assistant. This position provides a variety of confidential administrative and support duties for the Dauphin County Prison Administration Office. This employee is responsible for but not limited to performing the following essential functions:
- Receives, screens, researches, and oversees the collection of records in response to Subpoenas.
- Composes letters, memos, bulletins and other business correspondence on behalf of the Warden, the Director of Criminal Justice, and other Prison Leadership.
- Answers routine telephone inquiries and correspondence.
- Works with the Litigation & Policy Coordinator to prepare items/issues for review by the Dauphin County Prison Board of Inspectors.
- Assists the Litigation & Policy Coordinator with special projects as assigned by the Warden, the Director of Criminal Justice, and/or other Prison Leadership.
- Assists the Litigation & Policy Coordinator with the collection of responsive records for Open Records requests associated with Dauphin County Prison.
- Tracks Prison Board action, prepares detailed meeting minutes, and completes projects as assigned or requested by the Board.
- Assists with the preparation and submission of the monthly Prison Board meeting packets.
- Assists with the screening, research, and drafting of submissions for various surveys.
- Maintains and updates records and files on various department projects and statistical information for completion of weekly, monthly, quarterly, and annual reports.
- Creates and distributes meeting agendas.
- Arranges and schedules meetings and special events.
- Monitors and oversees compliance with Record Retention Procedure and records storage for the facility.
- Maintains effective working relationships with staff, supervisors, and management from other departments and organizations.
- Interacts with staff, County officials, other departments, and the public on department related matters.
- Graduation from high school or an accredited equivalency program plus; a college degree or certification from an accredited college/university in business or a related field.
- Minimum of 3 years’ experience in professional office / administrative work. Previous experience in a correctional setting is preferred but not required or a comparable combination of education and experience.
- It is expected that the successful candidate for this position will achieve and maintain accreditation/certification in First Aid, Cardiopulmonary Resuscitation, and the use of automatic external defibrillator (AED).
- Must possess ability to maintain confidentiality about sensitive information and records.
- A favorable criminal background check and child abuse clearances are required.
- Attends meetings, seminars and training as required.
- Attends monthly Prison Board meetings.
- Assists of administrative support staff with work duties as needed.
- Performs other job-related duties as required.
