We are seeking a highly organized and detail-oriented Executive Assistant (EA) to play a crucial role in supporting a dynamic organization in Mechanicsburg, PA. Key Responsibilities
- Policy Administration: Oversee policies and procedures, identify potential conflicts, and communicate them to leadership. Manage service records for Board members and officers.
- Meeting and Committee Management: Assist in scheduling and logistics for groups, committees, and taskforces—create polls, compile agendas, record attendance, take minutes, and distribute materials.
- Communication and Reporting: Assemble and format weekly updates, proofread and edit content, and liaise with internal teams to distribute materials.
- File and Record Management: Refresh and maintain organizational files, folders, and systems, ensuring easy accessibility and compliance with records management policies.
- Building Maintenance Coordination: Facilitate inspections, coordinate maintenance requirements, and ensure compliance with state regulations.
- Calendar Management: Maintain executives’ calendars, schedule appointments, and ensure priority items are managed efficiently.
- Communication Facilitation: Draft, proofread, and edit correspondence and materials for internal and external audiences. Route organizational emails and member inquiries to appropriate staff as necessary.
- Document Management: Create and organize files, systems, and records for easy accessibility. Maintain organized shared drive folders and ensure compliance with records management policies.
- Travel Coordination: Arrange domestic and international travel itineraries, including flights, lodging, and transportation. Create detailed travel agendas as needed.
Skills and Qualifications:
- Exceptional attention to detail and strong organizational skills.
- Proficiency in Microsoft Office applications and database management systems.
- Ability to manage logistical challenges, multitask, and meet deadlines.
- Excellent communication and interpersonal abilities.
- Experience working in association management or supporting senior management is a plus.
