JOB DESCRIPTION
The Dauphin County District Attorney's Office is currently accepting applications for the Full-Time position of Team Support Associate (TSA) to work in our Child Abuse Prosecution Unit. The TSA will provide clerical support to the unit with various responsibilities. The TSA will create investigative and charged files, and review and process the daily referrals sent to the District Attorney’s Office from ChildLine (the statewide child abuse hotline). They will identify the police jurisdiction in which the crime reported in the ChildLine referral occurred and send the reports to those jurisdictions; this employee will track those investigations to ensure the police jurisdiction opens an investigation into the allegations. The employee in this role will also track and maintain the schedule of child abuse unit members’ attendance at court hearings, Children’s Advocacy Center interviews, case review meetings, and other events. This employee will also be responsible for data entry to track the unit’s cases and will assist unit attorneys with preparing files for discovery by collecting various reports, statements, and criminal history records from various databases. This position is a Teamsters Union position.
The employee in this role is also responsible for but not limited to performing the following essential functions listed below.
- Create child abuse cases including file creation, documenting information on the file, gathering police reports, police call logs, CAC reports, C&Y reports, and all other necessary information pertinent to the child abuse investigations/cases.
- Review and process daily referrals sent to the District Attorney’s Office from ChildLine.
- Identify the police jurisdiction in which the crime reported in the ChildLine referral occurred and sends the reports to those jurisdictions; tracks those investigations to ensure the police jurisdiction opens an investigation into the allegations.
- Tracks and maintains the schedule of child abuse unit members’ attendance at court hearings, interviews, case review meetings and other events.
- Performs data entry to track the unit’s cases and assists unit attorneys with preparing files for discovery.
- Compiles preliminary hearing list of all child abuse preliminary hearings and disseminate to appropriate parties.
- Closes charged and uncharged child abuse investigation files in the Child Abuse Database.
- Inputs child abuse data into the office case management system.
- Filing child abuse files in their appropriate location.
- Compiles criminal history reports on JNET concerning child abuse suspects at the request of the child abuse team.
- Responsible for drafting “Certification Not to Release Child Fatality or Near Fatality Review Reports” and having assigned Deputy District Attorney sign report.
- Responsible for maintaining and updating an “Active Charged Child Abuse Files” list.
- Correspond with police departments and jurisdictions to ascertain where an alleged child abuse incident occurred, and which jurisdiction is claiming ownership.
- Responsible for maintaining and updating index cards for “charged files.”
- Responsible for maintaining and updating the “Law Enforcement Only” Spreadsheet.
- Sift through email correspondence of ChildLine referrals to determine the appropriate police jurisdiction in which to forward.
- Retrieve CAC reports through email and save on the computer and print a copy to be stored in the appropriate file.
- Retrieve necessary police incident reports/in various law enforcement databases.
- Attend meetings and/or training sessions as required.
- Assist staff with clerical duties in the absence of other clerical staff members, or as needed.
- Perform other job-related duties as required.
MINIMUM EDUCATION, TRAINING, AND SKILLS
Education/Training Requirements:
- Graduation from high school or an accredited equivalency program with coursework in secretarial sciences, clerical skills, business administration, business English and/or related fields. A favorable criminal background check is required.
Knowledge, Skills, and Abilities Required:
1. Must possess rudimentary knowledge of office automation.
2. Must possess some technical knowledge of operating personal computers and other office equipment as needed; must possess skill in data entry, including Microsoft Office.
3. Must be able to speak and understand the English language and to follow oral and written instructions.
4. Must possess the ability to maintain confidentiality regarding criminal justice information reviewed as part of working in the Office of the District Attorney and with access to state criminal history systems.
