Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our small team. The ideal candidate will be responsible for scheduling and communication with patients, advising about and verifying insurance coverage, and processing payments from patients and insurances, ensuring that administrative non-clinical tasks are completed efficiently and effectively. This role requires strong communication skills, proficiency with obtaining our patients' insurance information and explaining benefits to the patient, processing payments and the ability to manage multiple priorities systematically.
Duties
- Manage the office calendar, scheduling appointments
- Participate in meetings with other staff and owner.
- Aid in communication with labs and dental materials vendors.
- Maintain organized filing systems for both physical and digital documents to ensure easy access to information.
- Handle phone systems, managing incoming calls and directing them to the appropriate personnel.
- Coordinate schedule management for team members, optimizing time and resources effectively.
- Assist with dental office management tasks as required, aiding with compliance with relevant regulations.
- Develop and implement office procedures to enhance efficiency and productivity.
Experience
- Proven experience in an office administration role or similar position is preferred.
- Experience with dental assisting/procedures is beneficial, as we sometimes need an extra pair of hands!
- Strong organizational skills with a keen attention to detail.
- Familiarity with dental office management is a plus but not mandatory.
- Proficiency in calendar management, vendor management, and interacting with staff is essential.
- Excellent communication skills, both verbal and written, are required.
- Experience with phone systems and general office equipment is beneficial.
