What are the responsibilities and job description for the Reception Supervisor position at David Evans and Associates?
Job duties may include:
Supervise reception staff including setting and managing expectations
Work with direct reports to develop robust Success Plans; monitor progress made by direct reports, be invested in their success, and provide leadership as they work to achieve or exceed expectations
Update daily, weekly, and monthly reception schedules
Answering and directing calls on a multi-line phone system
Greeting and assisting visitors to the Portland office
Assisting with mail, filing, and other support services functions
Preparing, composing, and maintaining letters, documents, and spreadsheets using Microsoft Office applications
Complete a wide variety of administrative tasks. Some examples include preparing expense reports for payment; processing invoices for payment; tracking, preparing, and sending gifts to employees for birthdays, anniversaries, and new babies; preparing reports for vendors and overseeing the vendors' processes; filing paperwork required by state agencies, etc.
Setting up conference rooms, including setting up and taking down equipment for in-person and videoconference meetings
Assist Human Resources in various tasks.
Work closely with the Regional Service Business Leader
Assist the Regional Business Service Leader with employee service requests.
Basic Qualifications:
Commitment to work either a 7am-4pm or 8:30am-5:30pm, M-F in-office schedule
5+ years of administrative experience
Minimum of 3 years of experience in a supervisor role, preferably in reception, front desk operations, or a related field. Demonstrated ability to lead, train, and provide exceptional service.
Experience answering a multi-phone line system and routing calls.
Strong Microsoft Office skills
Ability to learn new technologies (position will use Microsoft SharePoint, ADP)
