Job Summary
The receptionist will be the first point of contact for clients, visitors, and callers. This position requires excellent communication skills, a friendly demeanor, and the ability to maintain a high level of professionalism in a client-focused environment. The ideal candidate will be highly organized, proactive, and able to manage multiple tasks while providing exceptional service to clients and staff.
Duties
- Greet clients and visitors in a professional, courteous, and friendly manner.
- Answer and direct phone calls, take messages, and ensure timely follow-up.
- Manage the firm’s front desk, ensuring a clean, welcoming environment.
- Schedule appointments and maintain calendars for attorneys and staff.
- Assist clients with basic inquiries and provide general information about the firm’s services.
- Prepare and distribute client intake forms and other documents as needed.
- Handle incoming and outgoing deliveries and packages.
- Maintain client confidentiality in accordance with legal and firm standards.
- Assist with administrative tasks such as filing, scanning, photocopying, and document preparation.
- Coordinate conference room scheduling and manage meeting logistics.
- Support billing and timekeeping activities as needed.
- Perform other duties as assigned by attorneys or office management.
Experience
- High school diploma or equivalent (Associate's or Bachelor's degree a plus).
- Previous experience in an office setting, preferably in a law firm or legal environment.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment (phones, fax, copier).
- Ability to maintain a professional appearance and demeanor.
- Strong attention to detail and ability to manage time effectively.
- Ability to maintain strict confidentiality and exercise discretion.
- Customer service experience is a plus.
