No travel is required for this position and our administrative staff is based out of our main office in beautiful Toano, VA, which is just northwest of Williamsburg. Please consider our location prior to applying, so you are aware of the commute. If you are not in the immediate area please be prepared to relocate right away. What you'll be doing:
Project Management Assistants (PMAs) support Project Managers (PMs) from project initiation to closeout by handling tasks like planning, scheduling, procurement, and administrative duties. PMAs may also draft proposals, RFIs, submittals, budgets, or change order initiations, all of which are subject to PM review.
NOTE: It is assumed that each responsibility will be performed by the PMA after training and demonstration of competency. The PMA role may also train to become a PM and be promoted to that role upon training and demonstration of each competency in the PM job description.
Essential Duties and Responsibilities:
- Arrange startup meeting with PM, Engineering, and Production, as directed by PM.
- Build project proposals based off pricing provided by the PM. Submit finalized proposal to PM for final review and approval before being issued to the client.
- Generate change orders (CO’s) as directed by the PM for changes in the scope of work and submit to PM for final review and approval before being issued to the client.
- Maintain a working and professional dialogue with outside professionals as directed by PM.
- Utilize various software platforms to ensure and maintain accurate records and full documentation:
- Maintain clear concise records with respect to all contract documents or change order requirements.
- Thoroughly understand scope, budget and schedule at all points of the project.
- Prepare budget for PM review.
- Research specialty items with long lead times and check the item availability. Obtain quotes from vendors as needed.
- Generate purchase orders (PO‘s) and order items as directed by PM and production managers. Track incoming material and ensure that PM is updated on all delayed items.
- Monitor spending (labor & materials) for all assigned projects and provide weekly updates to PM as well as Director of Business Operations.
- Generate shipping lists and coordinate shipments for PM. Shipping methods may include (truck/sprinter van deliveries, LTL, UPS or FEDEX).
- Understand that the project itself is a living entity which requires constant attention and update.
- Draft RFIs and submittals for PM to review and to forward to client.
- Solve problems, provide guidance, and address exceptions under the direction of PM.
- Regularly inspect shop floor adherence to stated scope and quality.
- Immediately update production management and operations of schedule changes which impact their project as directed by PM.
- Any other duties as requested by management.
Qualifications:
- Exceptional Organizational Skill.
- Proficiency in delivering professional communication, clearly and effectively in writing and verbally across all organizational lines.
- Fully versed in Microsoft Office.
- Ability to work under pressure and adherence to strict deadlines.
- Strong interpersonal skills and the ability to work well with others.
- Detail oriented.
- Ability to work independently.
- Ability to work long hours and flexible schedule.
