GENERAL STATEMENT OF JOB
To provide administrative support to Director of Title I.
ESSENTIAL JOB FUNCTIONS
Communication:
• Assists with communication to all Title I schools
• Shares backup telephone coverage for Elementary Education Department and Title I with
• Elementary Education Administrative Assistant
• Creates or revises correspondence, forms, minutes, reports, etc. as requested
• Disseminates correspondence to Title I principals, teachers, committees, etc. as requested
• Maintains notebook of Title I correspondences from Director
• Maintains open communication with other departments
Personnel:
• Assists with preparing interview information for prospective personnel
• Assures appropriate applicant documentation is on file with Human Resources Department Completes Personnel Action Forms for new employees and status changes of current employees
• Submits completed forms to the Human Resources Department
• Ensures time and effort documentation is completed and maintained on file for each employee funded through the Title I/Title IV budget
Title I/Title IV Materials/Printing:
• Provides updated inventory list for the Title I/Title IV portion of the dock area and keeps area organized
• Coordinates printing bids for all Title I/Title IV projects—Title I Professional Development Brochure, LEA Improvement Letters (if applicable), Title I/Title IV Monitoring Forms, etc.
• Compiles materials and creates files for documentation of compliance with the federal monitoring checklist
Title I/Title IV
• Assists director with the planning and completion of Title I/Title IV Application
• Assists director and collaborates with district and state Title I/Title IV personnel to ensure compliance with federal guidelines
• Assists in maintaining appropriate documentation of compliance though district online monitoring website
• Prepares support documents for Title I/Title IV Application—Intent for Services packet, EDS Report, Budgets—and enters information onto Comprehensive Continuous Improvement Plan
(CCIP) website
• Maintains inventory of equipment
• Updates Title I/Title IV Application throughout the year as program changes occur
• Updates forms and procedures for department as requested
• Assists in local, state and federal audits
• Assists in securing information for Title I/Title IV reports (requests can be made by and not limited to Title I/Title IV Director, Assistant Superintendent, or Superintendent)
• Assists in state monitoring process by gathering and preparing necessary information.
• Maintains School wide Documents and Procedures notebook and Title I/Title IV Guidelines.
• Notebook Maintains Title I/Title IV Application notebook
• Assists with Consolidated Federal Data Collection data entry as requested by Director
• Conducts/compiles district Comparability Study and submits to DPI via CCIP
• Works with district lead teachers to create and administer Title I/Title IV Needs Assessment, and prepares documents/presentation with analysis of results
Fiduciary:
• Assists with budget preparation and managing allocation of funds
• Completes budget amendment data entry in AS400 system and submits budget amendments to Finance Department for Board approval
• Calculates salaries and benefits for all employees paid from Title I/Title IV budget and maintains a spreadsheet of such information
• Maintains ledger sheets and current balance of Title I/Title IV accounts, including accounts for Title I/Title IV classroom, parental involvement, neglected and delinquent program, and LEA and School improvement expenditures (if applicable)
• Balances the Title I budget monthly by category and line item and provides information to Director
• Prepares monthly expenditure reports for Director to disseminate to principals and other appropriate personnel
• Orders supplies, materials, and equipment for the Title I/Title IV school programs and office
• Submits requisition information for Director’s approval
• Faxes purchase orders to appropriate vendor for all Title I/Title IV accounts
• Tracks receipt of signed goldenrod purchase orders and invoices, records expense on ledger sheet, and submits information to Accounts Payable Department
• Processes travel forms and submits to Accounts Payable Department for payment
• Maintains notebook of equipment purchased and submits equipment disposition requests to NC DPI
• Ensures time and effort documentation is completed by each Title I/Title IV employee and maintained on file
Language Immersion
• Maintain records for teachers, teacher salaries and fees for the Language Immersion Program
• Order supplies, record expenses, run reports, and submit budget amendments for Language Immersion Program.
ADDITIONAL JOB FUNCTIONS
Performs other related work as required.
MINIMUM TRAINING AND EXPERIENCE
• Two or four year degree in accounting or related field with a minimum of five years administrative/office management experience; or
• Completion of a two-year secretarial science or business administration
• program and administrative/office management experience; or
• An equivalent combination of education and experience.
PHYSICAL REQUIREMENTS
Must be able to physically perform the basic life operational functions of fingering, grasping, talking, hearing, and repetitive motions. Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Some positions assigned to this class may require light work exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
