ACCOUNTS PAYABLE SPECIALIST
Job Description:
Reporting to the Chief Financial Officer (CFO), the Accounts Payable Specialist is responsible for managing the
complete accounts payable process, ensuring timely and accurate payment of invoices, maintaining vendor
relationships, and managing and maintaining vendor files and records in a multi-company environment.
Responsibilities:
- Review, verify, and process invoices, purchase orders, and expense reports in compliance with company
- Prepare and process check runs, wire transfers, and ACH payments while maintaining accurate payment
- Establish and maintain positive relationships with vendors, resolving discrepancies, and managing inquiries
- Reconcile vendor statements and company credit cards
- Maintain accurate and organized accounts payable files and documentation, including electronic records
- Coordinate with team on month, quarter, and year-end close to ensure accuracy and timeliness
- Prepare all necessary month and year end reports, including 1099s
- Identify and resolve uncashed checks and open payables
- Develop and maintain desktop manual for AP functions
- Identify opportunities for improving processes and systems for efficiency and accuracy in financial
reporting and accounting operations
- Other duties and tasks as assigned

of management and staff as well as outside business associates
- Excellent organizational and follow-up skills

- Ability to research, organize, and analyze information with particular attention to accuracy and detail
- Strong analytical skills, proactively investigate discrepancies and recommend solutions
- Ability to make sound decisions, solve problems, and exercise skeptical but professional judgement
- Ability to work well under pressure and independently prioritize workload, while working on multiple
projects, deadlines, and stakeholders

- Excellent written and verbal communication skills; including thorough knowledge of proper grammar,
- Willingness to be flexible and adaptable to change
- Intermediate Microsoft Office skills and proficiencies (Outlook, Word, and Excel) and the ability to
manipulate large amounts of data required
- Solid understanding of accounting principles, practices, standards, laws and regulations
- High degree of sensitivity with regard to confidential information
Educational and Experience Requirements:
- High school diploma or equivalent required. Associates degree in accounting or related field highly desired
- 2 years of accounts payable experience in a high volume environment
- Sage 300 experience preferred but not required
