Overview
We are seeking a dedicated and organized Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our community events, social media presents and providing support to our administration departments. The ideal candidate will possess strong marketing and development skills, excellent time management abilities, and a proficiency in computer literacy, particularly with Google Suite.

Responsibilities

Primary: Manages implementation of annual marketing plan, including website maintenance and social media platforms; plans, coordinates and attends community events.

Secondary: Enters accounts payable into accounting software; compiles and sorts invoices and receipts; processes Medicaid billing for residents.

Tertiary: Provide coverage and assistance to other Administrative areas such as Human Resources and the Front Office in order to support overall agency operations.

Essential Duties and Responsibilities

· Serves as primary person responsible for website and social media.

· Assists with event planning and attends local community events on behalf of agency.

· Serves as agency photographer.

· Assists with direct mail campaigns, press releases, and e-blasts.

· Assists with implementation of marketing and public relations plan

· Assists with grant proposals as needed.

· Enters accounts payable into the accounting system.

· Compiles and sorts documents such as invoices, receipts and checks.

· Reconciles invoices with statements and resolves any discrepancies and/ or problems.

· Processes Medicaid billing for residents.

· Assists with other accounting functions as needed.

· Provides coverage and performs duties for front office as needed.

· Assists with recruitment for all exempt and non-exempt personnel.

· Assists with Human Resources documentation, filing and training.

Experience

  • Previous experience in a related field
  • Strong time management skills with the ability to prioritize tasks effectively
  • Proficient typing skills with attention to detail in documentation
  • Excellent computer literacy, particularly in Google Suite applications (Docs, Sheets, Calendar)
  • Strong communication skills, both verbal and written
  • Social media platform engagement and marketing

Job Type: Full-time

Pay: $14.88 - $15.32 per hour

Expected hours: 40 per week
