Performs a variety of duties as required to assure students have a positive experience of the college relating to enrollment, scheduling, and withdrawal. Additionally, works to ensure the highest level possible of data integrity. Provides exceptional service to customers, including maintaining a professional and positive demeanor at all times.

  1. Serves as primary point-of-contact for students seeking services including registration, scheduling, assessment, withdrawal and general information.
  2. Registers students for college including determining appropriate enrollment status, objectives, and course placement.
  3. Understands complicated enrollment and scheduling processes for each college program and enrolls students according to admission and registration standards.
  4. Assists students in filing withdrawal and records requests from students and external parties in compliance with Family Education Rights and Privacy Act.
  5. Answers general questions about college programs and services in person and on the telephone in lieu of recruiters and advisors.
  6. Greets individuals checking in for services and provides the necessary service or directs them appropriately; assists individuals in gaining priority access to other staff as appropriate for urgent intervention.
  7. Serves as telephone operator/receptionist for Student Services Department; receives, screens, answers questions and/or forwards calls as appropriate.
  8. Troubleshoots student registration problems by phone or in person; checks schedules and data not appearing on roll/record; initiates records change forms as appropriate. Assists students with obtaining copies of schedules/progress reports or other records.
  9. Remains current on Student policies and procedures as well as program specific information.
  10. Works with external entities as required for funding through Department of Workforce Services, Vocational Rehabilitation, etc.
  11. Maintains foundational knowledge of financial aid and scholarships processes to facilitate “one-stop shop” service.
  12. Assists teachers with information needed by phone, email or in person.
  13. Maintains program start lists when needed; informs Career and Academic Advisors of program openings.
  14. Creates forms; requests printed materials for registration, maintains supplies; prepares registration packets when needed.
  15. Operates computer to perform various secretarial duties; types letters, memos, correspondence, spreadsheets, desktop publishing, and special projects.
  16.  Responsible for accurate data entry of student information.
  17.  Performs other related duties as required.
Education and Experience
  • Graduation from high school plus one year of specialized training in secretarial skills; computer operation and general office practices and procedures; record keeping or other related field; and one (1) year of responsible experience performing related duties; or an equivalent combination of education and experience.
  • Must successfully pass a criminal background check.
Knowledge, Skills and Abilities
  • Proficiency in various software applications with proven competence in spreadsheets and word processing. Working knowledge of general office procedures and practices; working knowledge of filing systems and telephone etiquette; some knowledge of 10-key operation and computer applications; skill in typing (35 wpm) and operation of various types of office equipment; skill in word processing.
  • Must possess excellent customer service skills and the ability to communicate complicated processes effectively.
  • Ability to create a positive experience for customers, ability to communicate effectively, ability to develop effective working relationships; ability to work independently and manage work assignments in a high interpersonal contact environment; ability to deal effectively with stress caused by workload and time deadlines.  
  • Requires flexible schedule, including possible evening work.
