Dawson County Extension – Office Assistant

1. Secretarial:
- Type & send news releases and columns.
- Type letters, brochures, flyers, and bulk mailings.
- Assist with overflow of telephone and walk-in customers when she is busy.
- Maintain mailing address & lists in computer database software.
- Photocopying/Scanning.
- Prepare PowerPoint presentations.
- Attend district technology, financial and 4-H related updates as scheduled or watch webinars.
- Maintain and update the Dawson County Extension webpage.
- Inventory and order office supplies.
- Update 4-H policy guidelines and put together.
- Maintain & distribute generic Dawson County e-mails received and forward to appropriate people in office or reply to them.
- Maintain email lists.
2. Bookkeeping:
- Prepare deposits.
- Manage change box money.
- Keep bookkeeping on accounts (Prescribed Burn, 4-H Foundation, 4-H investments).
- Process year ends on accounts by working with staff.
- Verify Quarterly Sales Tax reports with UNL Financial personnel.
- Process and report 4-H Foundation Bankers Grant dollars received and uses of.
- Process and report 4-H Foundation Income Report, Expenses Report for 4-H BBQ, 4-H Foundation Board, and Council.
- Work with Lexington Foundation for 4-H Foundation – Give Big Lexington campaign.
3. 4-H Support:
4-H livestock ID:
- Eartag recording, tracking and billing.
- Assist 4-H families with questions.
- Work with 4-H leaders and families to chase in missing ID sheets.
- Work with 4-H families to verify completeness and accuracy of ID information needed and receive information in timely manner to coordinate with state requirements.
Assist with 4-H side of County Fair exhibits in fair software:
- Update premium lists.
- Process reports and forward to Fairboard for them to process premium checks.
- Prepare County Fair Exhibitor Results reports for Educators, Extension Board, and 4-H Council.
County Fair preparation as needed:
- Showmanship Trophy, Grand and Reserve trophies verification and labeling.
- Work with Fair Superintendents on check-in day to create show line-up schedules and programs for animal shows.
4-H BBQ:
- Prepare certificates for participants and leaders.
4. Computer Support:
- Assist in-office questions on e-mail, Internet, word processing, spreadsheets, etc.
- Responsible for all updates on backup laptops.
Minimum Qualifications:
- High School diploma or GED required.
- Ability to handle money and balance accounts.
- Excellent communication and organizational skills.
- Excellent interpersonal and teamwork skills.
- Excellent computer skills.
- Bookkeeping and accounting knowledge.
- knowledge of spreadsheet and data management software.
Preferred Qualifications:
- Ability to speak language(s) other than English. Spanish preferred.
- Social media skills.
Salary and Benefits:
Position is funded through Dawson County with the office located in Lexington, NE. The salary is based on county salary classifications with the Dawson County benefit package available. The position is $16.10/hr.
