Job Description
The Fiscal Specialist serves the district by applying sound bookkeeping and accounting principles in processing accounts payable, payroll, purchasing, inventory, student activity records, grant management, and other financial records. This position is an integral part of the District Office Team.
Qualifications
The Fiscal Specialist must successfully perform essential duties and responsibilities. The following knowledge, skills, and abilities are required:
Education and Experience
*Minimum high school diploma
*Associate's degree (A.A.) or equivalent from a two-year college or technical school, or at least one year of related experience/training, or an equivalent combination of education and experience
*At least one year of experience in typing and general clerical work
*Prior successful experience in a school or office setting required
*Ability to accurately enter and retrieve computerized data
Required Knowledge, Skills, and Abilities
*Experience in business accounting; governmental accounting preferred; knowledge of GAAP compliance
*Effective and professional communication skills for interacting with staff, vendors, and the general public
*Ability to maintain confidentiality in all phases of work
*Proficiency in Microsoft Office Suite and Google applications
*Ability to learn and utilize eSchool/eFinance and ASBWorks
*Familiarity with software related to Energy Usage, Child Nutrition Program claims, e-Rate applications, etc.
*Strong organizational skills with the ability to work under pressure, manage deadlines, and exercise professional judgment
Essential Duties and Responsibilities
*Gather bids and secure favorable pricing, including co-op purchase agreements, per District policy and legal requirements
*Verify account balances, process requisitions, and encumber purchase orders for approval
*Process orders for all District areas, verify order accuracy, reconcile invoices, and manage accounts payable efficiently
*Process journal entries, deposits, and revenue records, assisting with month-end and year-end financial reports
*Maintain and track professional development and grant records, preparing required expenditure reports
*Prepare and process reimbursement requests for the Child Nutrition Program, ensuring compliance with state and federal requirements
*Reconcile student activity account bank statements, track fundraisers, and provide fiscal support to building secretaries
*Maintain fixed asset inventory and reconcile records for annual audits
*Process monthly and special payrolls with assistance from the Administrative Specialist and Business Manager
*Assist with internal audits and prepare records for official District audits
*Reconcile and process 1099 forms for the District and Student Body accounts
*Manage the Federal e-Rate application in coordination with the District Technology Coordinator and/or consultant
*Maintain and file financial documents and reports per District policy and legal requirements
*Serve as a Public Notary for the District and community
*Support a positive public image for the District as part of the District Office Team
*Work collaboratively with District Office staff to support daily operations
*Attend work regularly and punctually
*Perform other duties as assigned
Physical Requirements
*Prolonged computer use and screen viewing
*Reading small print on paper and screens
*Standing/walking for 6-8 hours per day, sitting for 3-4 hours per day
*Frequent repetitive hand movements, fine manipulation, and pushing/pulling
*Occasional bending, twisting, squatting, climbing, and reaching above shoulder level
*Lifting up to 50 pounds, with frequent lifting/carrying of 10-20 pounds
