We are seeking a Production Administrator to manage production processes, ensure project installations run smoothly, and enhance efficiency across multiple departments.
What You’ll Do
Project & Scheduling Management
- Monitor the production email for incoming requests and updates.
- Conduct project confirmation calls, ensuring all details are reviewed within the two-week look-ahead schedule.
- Schedule installations, ensuring optimal crew assignments and efficient calendar management.
- Use the active move-up list to fill crew schedules efficiently and track pending projects.
- Confirm customer expectations, including project details, payment processes, crew assignments, and estimated completion times.
- Maintain an organized crew calendar by tracking holidays, PTO, and hold-out dates for accurate scheduling.
- Manage the escalation list, coordinating supervisor or project manager visits as needed.
- Answer phones, log customer communications, and ensure proper documentation. Assist escalated customers by determining the best resolution (logistics, services, or production).
- Monitor campaigns to track upcoming projects and maintain customer engagement.
- Conduct post-installation calls and surveys to collect feedback and improve processes.
- Process time entries for the production team and approve payroll adjustments.
- Review and process performance bonus payouts based on company criteria.
- Verify project completion, ensure all documentation is recorded accurately, and manage closeout processes.
- Coordinate with the Finance and Accounting teams on pricing adjustments, payroll issues, project changes, and payment collections.
- Track and publish job costing reports for upper management decision-making.
What We’re Looking For:
- Experience: 2 years in construction, project coordination, or production management.
- Skills: Strong organizational & time management abilities. Proficiency in scheduling software & data reporting tools. Excellent verbal & written communication skills. Ability to work independently while collaborating across departments. Spanish proficiency is a plus.
