DEPARTMENT DESCRIPTION:

The Facilities Management department supports DC Central Kitchen in its mission to use food as a tool to strengthen bodies, empower minds, and build communities by ensuring the functionality, safety, comfort, and efficiency of its new state-of-the-art home, the Michael R. Klein Center for Jobs and Justice, which occupies 36,000 square feet. This team is responsible for the maintenance and management of the physical environment, including production and training kitchens, offices, meeting, and event spaces; and the effective functioning of the infrastructure that supports the building, including Audio/Visual (A/V) systems, and Heating, Ventilation, and Air-Conditioning (HVAC) systems. The efforts of this department enable a productive, supportive, and connected workplace.

POSITION DESCRIPTION:

The Facilities Manager will play an integral role in DC Central Kitchen’s expansion into its 1st & V space adjacent to the Klein Center for Jobs and Justice, in 2025. The Manager will closely collaborate with the COO to create systems supporting the space and while maximizing its function. This position will also be responsible for the day-to-day management of building operations, department staff, and contractual support to facilitate planning, implementation, and coordination of building repair, maintenance, and renovation projects. In addition, this role will support facilities management of DC Central Kitchen cafés (THEARC, MLK Library, and the Klein Center). In their leadership capacity, the Director will ensure efficiency and safety in the workplace by utilizing best business practices to manage resources, services, and processes. Prior experience in developing and managing corporate facilities programs and vendor engagement strategies is required. This role reports to the Chief Operating Officer and directly supervises administrative staff.

DUTIES AND RESPONSIBILITIES:

Facilities Management

· Oversee all building operations, including, but not limited to, facility maintenance and major repairs in compliance with building code and requirements, and the management and upkeep of HVAC, kitchen equipment, electrical, and security systems.

· Implement and consistently use task checklists for all staff members on the team, ensuring a system to review task progress, provide training and support as needed, and address any barriers to task completion.

· Schedule and coordinate operational activities with the user departments and internal customers and provide technical expertise and guidance to staff.

· Quarterly training and compliance on policies that govern facility use and management practices.

· Work closely with the People Experience team (HR, Guest Experience, and Volunteer Engagement) to assist with coordination and scheduling all facility bookings.

· Manage building access and facility use for internal staff use, board meetings, special events, and external rentals.

· Monitor, order, and procure supplies for building cleaning, maintenance, and office operations in conjunction with Procurement team.

· In close collaboration with the COO, develop budgets and track short-term and long-term facility expenses, equipment, and resource needs.

· Handle all facility complaints and customer service issues in a professional and courteous manner.

· Manage and conduct annual inventory of property and equipment and maintain ongoing inventory of condition, use, location, and storage of capital/property assets.

· Oversee and enforce preventive maintenance program by reviewing quality control and maintenance reports and statistics; and inspecting operating machines, equipment, and systems for conformance with operational standards.

Risk Management and Compliance

· Ensure that all city permits and inspections are secured in compliance with legal requirements (fire, police, parking, health department, Department of Consumer and Regulatory Affairs (DCRA)).

· Ensure building compliance for all of the facility audits, property, and liability insurance audits.

· Serve as liaison for fire, police, and relevant government agencies (for example, US Secret Service) for all issues related to street closures, maintenance, safety, and security issues.

· Lead the training of emergency preparedness and response plans with clearly defined roles and protocols for communication and reporting.

· Coordinate and oversee staff training activities for safety, security, evacuations, building lockdown, disaster management, and code compliance.

Vendor Management

· Partner with COO with the preparation of RFP’s as needed for equipment and third-party contracts and projects. Oversee and supervise the development of project plans; review and submit specifications, plans, and estimates to COO.

· Ensure timely completion of preventative maintenance management and work orders. Monitor and manage UpKeep, creating efficiency in addressing internal repairs and service requests.

· Continuously monitor and evaluate the efficiency and effectiveness of service delivery methods and procedures; assess and monitor workload, and internal reporting relationships; identify opportunities for improvement; and manage the changes.

· Interview, engage, assess, and manage all external contractors for building cleaning, waste disposal, refurbishing interior, plumbing, exterminators, kitchen maintenance and special repairs.

Employee Engagement and Development

· Manage the development and implementation of the Department goals, objectives, policies, and priorities.

· Create a positive and constructive work environment, where members of the team are engaged and feel supported. Ensure ongoing mentoring, coaching, and training of all new and existing employees in the department.

· Manage the development and implementation of employee development plans and performance management plans for all employees in the department.

· Maintain positive and collaborative working relationships with other DCCK leaders.

· Perform other duties and tasks as required to maintain quality relationships with all our partners and customers and / or duties and tasks needed to drive the vision, mission, and values of DC Central Kitchen.

MINIMUM QUALIFICATIONS:

· Bachelor’s degree and at least 4-6 years of related experience OR equivalent combination of education, training, and experience

· 2 years of supervisory experience in facilities management or related field

· Excellent verbal and written communication skills

· Demonstrated ability to effectively manage staff, develop good relationships with a diverse group of people and build a collaborative work environment

· Prior experience in preparing and administering large and complex budgets

· Ability to solve problems in a strategic and tactical manner and use good judgment in making decisions

· Ability to work independently and use self-initiated follow-up to meet deadlines

· Proven ability to successfully manage multiple projects concurrently

· Well-organized, self-motivated, goal-oriented, and flexible

· Ability to work long and extended hours as needed

· Knowledge of regulatory compliance laws for relevant jurisdictions

· Computer proficiency in Microsoft Office products (Word, PowerPoint, Excel, and SharePoint)

· Pre-employment background check and drug test are required.

PHYSICAL DEMANDS:

· Must be capable of independent local travel

· Must be able to attend occasional night and weekend events

· May occasionally move Audio/Visual and other office equipment or lightweight items weighing up to 30 pounds for various meeting and event needs.

· Some functions of this position may require moderate physical activity, including transporting, positioning, installing, or removing office equipment items, such as printers, computers, phones, and so on.

· Will often move about inside the office and commercial kitchen space to access supplies, materials, file cabinets, office machinery, etc.

· Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer; constantly positions self to access and maintain computer equipment; and must be able to remain in a stationery position for at least 50% of the time.

· Must be able to work in an environment where exposure to unusual elements such as extreme temperatures, fumes, dirt, smoke, loud noise, and a variety of odors is common
