Job Overview
We are seeking a dedicated and organized Office Assistant to join our team. This role is essential in ensuring the smooth operation of our office environment. The ideal candidate will possess strong computer literacy and excellent customer service skills, along with a professional demeanor suitable for front desk interactions. As an Office Assistant, you will be responsible for various administrative and clerical tasks that support our daily operations.
Duties
- Reception Duties: Answering & directing calls to appropriate personnel, greeting visitors, and providing basic information as well as relaying messages to field personnel.
- Mail Management: Picking up mail at PO box in Bozeman and at shop location, sorting and distributing incoming mail, preparing outgoing mail. (physical and electronic)
- Calendar Management: Scheduling meetings, appointments, and managing calendars for staff.
- Document Management: Filing documents, copying, scanning, and organizing electronic and physical files. Distributing electronic files to various positions at the company for review and approval. Review receipts and upload to various systems.
- Office Supplies: Maintaining inventory of office supplies, ordering new supplies as needed.
- Data Entry: Inputting data into spreadsheets and databases. Maintaining Project spread sheets and assisting Accounting with data review and verification.
- Basic Administrative Tasks: Creating and editing documents, preparing reports, renewing licenses and permits and checking insurance status.
- Travel Arrangements: Assisting with booking travel for staff.
- Maintaining Office Equipment: Ensuring office is functioning properly, coordinating repairs when needed.
Qualifications
- Strong Communication Skills: Excellent verbal and written communication to interact with clients, employees, and vendors effectively and in a professional manner.
- Organizational Skills: Ability to prioritize tasks and maintain a structured work environment.
- Computer Proficiency: Familiarity with Microsoft Word & Excel for document creation and data management. Email systems (Outlook and Gmail) and the ability to learn basic QuickBooks and HCSS (Project management tool) functions for data input.
- Attention to Detail: Accuracy in handling data and completing tasks.
- Multitasking Ability: Capability to handle multiple tasks simultaneously.
