OVERVIEW
The DC Prep Campus Operations Assistant is the person who is always glad to see you! As the first point of contact between DC Prep and its students, families, faculty and staff, and the general public, the Operations Assistant is responsible for consistently maintaining a welcoming, inclusive environment and providing excellent customer service to all. The Operations Assistant also functions as the Operations Site Leader's "right hand", working closely together to ensure daily school operations run smoothly and in support of students, families, and staff.
This is a full-time position with a schedule of 40 hours per week during the school year and 40 hours per week during the summer months. Additional night and weekend hours and occasional overtime may be required as needed for campus events and / or emergency situations. The Operations Assistant will report to the Operations Site Leader.
RESPONSIBILITIES
Daily School Operations
Ensure the safety and security of students and staff by upholding a pattern of regular, predictable and punctual attendance on campusAnswer incoming telephone calls and greet everyone who enters the school building in a warm and welcoming way while upholding school safety protocol for campus visitorsSupport daily attendance processes by recording tardy passes, early dismissals, and collecting excuse notesManage office and student supply inventory and procurementCoordinate with custodial staff, food service staff, and the Operations Site Leader to ensure that immediate or unexpected cleaning or food service needs are handled appropriatelyReport building maintenance needs to the facilities staff and support coordination with vendors and custodial staff on cleaning requests, repairs, deliveries, and / or installationsDispense medications to students when the school nurse is not availableCoordinate special events and field trips under supervision of Operations Site Leader to ensure smooth and cost-effective executionReport to campus as close to regular schedule as possible during inclement weather delays in order to communicate with families and students as neededFamily Support
Respond to in-person, email, and phone inquiries from families about DC Prep's programs and eventsAssist new and returning families in completion of application and registration processesCommunicate messages regarding matters of academics and discipline to families as directed by the Principal or other members of the campus leadership teamAddress concerns and questions of families in a way that supports the school's mission, vision, and values in a timely and accurate mannerOther duties as assignedBusiness Administration
Provide general administrative support for the school, including but not limited to : photocopying, lamination, preparation of school mailings, filing, faxing, scanning, document organization and maintenance (including student files, vendor files, and timesheets), and creation of various documents for correspondence and communications to staff and familiesSupport the ordering of school meals and snacks under supervision of Operations Site leaderSupport processing of National School Lunch Program applications and meal tracking as neededSchedule and coordinate meetings, events, interviews, appointments, and / or other similar activities for campus leadershipOther duties as assignedOTHER DUTIES Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. Bachelor's degree preferredHigh school diploma or GED requiredMinimum of one-year administrative experience required, preferably in a an urban public school with a record of high student achievementESSENTIAL FUNCTIONS
DC Prep Operations Team members are on duty at their assigned campus Mondays through Fridays from either 7 : 15 am to 4 : 15 pm or 8 : 00 am-5 : 00 pm and must be prepared to receive students and families in the building at 7 : 30 am.Occasionally, staff may be required to report to a different campus for professional development or all network event.All DC Prep staff perform clerical duties related to instructional supplies, student reports and records, attendance reports, assessments, etc.DC Prep staff regularly perform morning, lunch, and afternoon duties as assigned by their principalAdditional responsibilities may arise during the school year. This could include : attending staff and student field trips, after school events, family-teacher conferences, home visits, and other events involving parents and students, as needed. This list is not exhaustive. DC Prep will communicate mandatory events outside of school hours with ample notice.Physical Demands
