Organization: DC Youth Orchestra Program (DCYOP)   

Position: Full-Time, Exempt   

Reports To: Program Manager of Ensembles   

Salary: $55,000 - $60,000. 

Open until: January 15th, 2025 

Work Schedule:   

August–June: Tuesday–Saturday (10:00 AM–6:00 PM T-F, 8:30 AM–4:00 PM Sat)   

Mid-June–Mid-August: Monday - Friday (8:00 AM–5:00 PM)   

Position Overview 

DCYOP seeks a Program Coordinator to support the planning, implementation, and logistics of its School Year and Summer Programs, including the Prelude After-school Program, Talent Development Program (TDP), and Summer Programs. The Program Coordinator will play a key role in ensuring successful program execution, student engagement, and maintaining DCYOP’s reputation as the region’s premier youth orchestra training program.   

This position involves collaboration with the Program Manager, Ensembles, Director of Student and Family Engagement, and the broader Program Team to support daily program operations, student success, and strategic program growth.   

Responsibilities 

Program Administration:  

  • Support planning, preparation, and logistics for school year and summer programs.   

  • Supports student registration, recruitment, and tracking for Prelude, TDP, and Summer Programs.   

  • Coordinate substitute instructors and program communications.   

  • Track and report program results and retention data.   

Program Implementation:   

  • Oversee daily activities for the school year and summer programs, including Saturday programs.   

  • Supervise students, interns, and support staff.   

  • Conduct evaluations and check-ins with students, faculty, and teaching staff.   

  • Coordinate logistics for masterclasses, workshops, field trips, and concerts in collaboration with the Artistic Director.   

Specialized Program Support:  

  • Supports the oversight of logistics for summer programs, beginner programs, and intern management.   

  • Lead recruitment for TDP and summer internships, including application processes and contracts.   

  • Conduct site visits, evaluate student progress, and lead student/family communication. 

  • Supports the coordinates the Talent Development Program (TDP). 

  • Supports the management of the application processes and provides necessary support to families.  

Supports the Prelude Program:   

  • Conducts monthly visits to Prelude Program sites. 

  • Evaluate student/program progress.  

  • Complete check-ins with teaching staff/school administrators. 

  • Problem-solve current programming issues. 

Summer Programming   

  • Supports daily summer programming logistics.  

  • Facilitate and evaluate student auditions. 

  • Support implementation of day-to-day needs . 

  • Support Program Manager, Ensembles with student and program scheduling . 

Other Duties:  

  • Attends regular staff and team meetings.  

  • Participate in DCYOP events . 

  • Support DCYOP merchandise design and sales.  

  • Support DCYOP hiring process. 

  • Support Student, faculty, and staff recruitment as needed.  

  • Other responsibilities as required. 

Qualifications:  

2 or more years of experience in the following:  

  • Music education: setting goals and objectives, evaluating progress, student instruction, sectionals, or substitute teaching of ensembles.   

  • Administration: Creating, reviewing, and editing documents. Making spreadsheets, tracking data . 

  • Work in nonprofit arts environments.   

  • Elementary school teaching experience. 

  • Experience working with children and youth from various socioeconomic backgrounds: Understanding and knowledge of the student population we serve, demographics, perceptions, limitations, barriers, cultural differences, financial gaps, etc.   

  • Strategic program planning and management: supporting school year and summer programs and events, creating student schedules.  

  • Student performance coordination.  

  • People Management: Oversight of students, interns, support staff . 

Preferred  

  • Bachelor’s degree in Music, Music Education, or Arts Management.   

  • Bilingual (Spanish/English spoken and written).   

  • Knowledge of DC's music and orchestral landscape.

  • Effective written and oral communication.   

Work Environment & Physical Demands:  

  • A hybrid work model with regular in-person attendance is required.   

  • Moderate noise levels, with occasional loud environments during rehearsals and performances.   

  • Ability to lift/move up to 25 pounds.   

Travel 

Up to 25% domestic or international travel and for site visits.
