Position Overview: We are looking for a Sales Support Coordinator to join our team in a fully remote role. In this position, you will provide essential administrative and operational support to our sales and project management teams. Your role will be vital in ensuring smooth campaign execution, maintaining effective communication with clients, and supporting the sales process through timely updates and follow-ups. Key Responsibilities:
- Assist Sales Team: Provide administrative support by tracking client campaigns, updating project management systems, and ensuring the sales team has the necessary information to execute campaigns successfully.
- Client Communication: Handle client inquiries and follow up on payment issues, ensuring that clients receive the support they need and resolving any concerns in a timely manner.
- Data Management: Enter contract-specific data into the project management system, and maintain an up-to-date CRM with client information and campaign details.
- Campaign Support: Research and track the progress of ongoing campaigns, providing timely updates and identifying any areas that may need attention to ensure campaigns remain on track.
- Payment Processing: Assist in processing client payments, documenting transactions accurately, and following up as needed to resolve any outstanding issues.
- Reports: Submit end-of-campaign summary reports, providing insights on performance and helping inform future strategies.
- Client Renewals: Manage client renewal reminders and ensure timely follow-up with both clients and the sales team.
- General Support: Provide assistance to the CEO and other teams as needed, ensuring all sales and operational processes run smoothly.
- Automation and AI Tools: Implement and manage Zapier automations, use ChatGPT or similar AI tools for enhanced productivity, and leverage AI agents to improve operational workflows and client communications.
Qualifications:
- Experience: At least 3 years of experience in a sales support, project coordination, or administrative role.
- Tools Familiarity: Comfortable with project management software and tools such as Asana, Jira, GHL, Zoho, as well as QuickBooks, payment processors, Front, and Microsoft Office & Google Workspace.
- Automation and AI: Experience using Zapier for automations and leveraging ChatGPT or AI agents to improve business processes and workflows is a plus.
- Strong Organizational Skills: Ability to manage multiple tasks at once while maintaining a high level of accuracy and attention to detail.
- Communication Skills: Excellent written and verbal communication skills, with the ability to engage effectively with clients and internal teams.
- Problem-Solving: Strong ability to identify issues and find practical solutions to keep projects on track.
- Remote Work Experience: Able to manage time effectively and work independently in a fully remote environment.
